Operational Specialist

Job DescriptionPosition Summary\nA growing manufacturing organization is seeking an Operations Specialist to provide administrative and operational support across production control, sales, engineering, and shipping. This position will help coordinate customer orders, quotes, purchasing documentation, engineering files, and day-to-day office activities.\nThe ideal candidate is highly organized, detail-oriented, comfortable communicating with customers and internal teams, and able to manage multiple priorities in a fast-paced manufacturing environment.\nKey Responsibilities\n\n Provide general administrative support, including answering phones, greeting visitors, maintaining office supplies, and coordinating facility service requests.\n Enter purchase orders, job releases, and related information while verifying accuracy and completeness.\n Issue, verify, and close jobs within the company's system.\n Review spreadsheets to confirm contract quantities and pricing.\n Communicate with buyers regarding purchase orders, change orders, delivery dates, drawings, and other documentation.\n Assist with shipping documentation and order fulfillment when needed.\n Enter, organize, and distribute customer quotes and RFQs.\n Download, review, and maintain customer drawings and supporting files.\n Identify RFQ requirements such as FAI and PPAP and ensure necessary documentation is completed.\n Track quote deadlines and follow up with customers and buyers on outstanding information.\n Support the sales team with customer communication, documentation, and urgent follow-up items.\n Coordinate engineering drawings, files, and communications between internal teams and customers.\n Maintain organized records for quotes, customers, orders, and engineering documentation.\n\nQualifications\n\n High school diploma or GED required.\n 2+ years of related administrative or operational support experience.\n Manufacturing experience required\n Proficiency with Microsoft Office, including Excel, Word, Outlook, and PowerPoint.\n Strong organizational skills and attention to detail.\n Excellent written and verbal communication and customer service skills.\n Ability to manage multiple priorities and meet deadlines.\n Strong analytical and problem-solving skills.\n Previous experience in a manufacturing, production, engineering, or similar environment is a plus.\n\n\n
