Part-Time Customer Service & Automation SpecialistHealthy Kids Programs is seeking Part-Time Customer Service & Automation Specialists to support family enrollment while helping improve and streamline internal registration processes.This role serves as the primary point of contact for prospective families during the enrollment journey while also identifying opportunities to automate workflows, improve communications, and increase operational efficiency across registration and customer support functions.This role also serves as a trusted resource for families navigating childcare assistance programs. The Customer Service & Automation Specialist will develop expertise in childcare subsidy programs and guide families through eligibility, enrollment, and renewal processes to improve access and reduce barriers to care.This is an excellent opportunity for someone who enjoys both customer service and finding smarter ways to get work done through technology, systems, and process improvement.Key ResponsibilitiesFamily Registration, Enrollment & Subsidy SupportServe as the first point of contact for prospective and enrolled families via phone and emailGuide families through registration, enrollment, scheduling, and required documentationProcess registrations accurately, ensuring proper billing, scheduling, and account setupFollow up with prospective families to support enrollment conversion and retentionDevelop and maintain expertise in childcare subsidy and tuition assistance programs across Healthy Kids service areasEducate and guide families through subsidy eligibility, application, recertification, and documentation requirements while maintaining compliance with program guidelinesSupport families in completing enrollment steps that coordinate with childcare assistance and subsidy programsTrack subsidy-related registration progress and proactively communicate next steps to familiesMaintain current knowledge of changing subsidy policies, deadlines, and family requirementsTrack registration activity and generate reports using CRM and registration systemsCollaborate with Marketing, Finance, and Operations teams to support enrollment growth and improve family accessAutomation & Process ImprovementIdentify opportunities to improve efficiency across registration and customer service workflowsBuild and maintain automated communications, reminders, and follow-up sequences using approved systems and platformsSupport CRM optimization, data cleanup, and process standardizationAssist with implementation and testing of workflow automation tools and AI-enabled administrative processesMonitor automation performance and recommend enhancements to improve family experience and staff productivityCreate standard operating procedures (SOPs), templates, and training materials for registration and enrollment workflowsHelp reduce manual administrative work while maintaining a high-touch, family-centered experienceQualificationsRequiredExperience in customer service, administrative support, registration, enrollment, or client-facing operationsExcellent written and verbal communication skillsStrong attention to detail and accuracyComfortable learning and using digital systems and technology platformsEffective time management and ability to manage multiple prioritiesTeam-oriented mindset with flexibility and adaptabilityHigh school diploma or equivalentPreferredExperience with childcare subsidy programs, public benefits navigation, enrollment services, case management, or family support servicesExperience using CRM systems, workflow tools, or process automation platformsExperience using AI tools or technology to improve administrative processesAbility to explain complex eligibility and documentation requirements in a clear and supportive mannerExperience supporting families from diverse backgroundsBilingual skills strongly preferredWhat Success Looks LikeFamilies receive fast, friendly, and accurate enrollment supportFamilies successfully navigate registration and subsidy processes with confidenceIncreased enrollment conversion and reduced abandoned registrationsImproved subsidy participation and faster family onboardingAdministrative work becomes more efficient through automationCommunication response times improveInternal teams gain streamlined and repeatable processesPart-Time BenefitsEmployer-paid childcare for children enrolled in our program on the days and during the hours you are working with usTelehealth, vision, and dental coverageAFLAC supplemental plans401(k) for eligible employeesPaid sick timeOn-demand pay (access earned wages before payday)Professional development and career advancement opportunitiesAt Healthy Kids Programs, we believe operational excellence and family experience go hand in hand.
