Executive Assistant (Calendar Manager)
My client, a private investment company is seeking an experienced Executive Assistant to support a senior executive, with a primary focus on managing a complex, high-volume calendar. This role is ideal for a proactive, detail-oriented professional who thrives in a fast-paced environment and can effectively balance competing priorities. The position also includes travel coordination, project support, and administrative responsibilities. Five days per week in New York City.
Responsibilities
Executive Support & Calendar Management
- Manage a complex calendar, coordinating meetings across multiple stakeholders and time zones.
- Serve as a key point of contact for clients, investors, partners, board members, and senior leaders.
- Anticipate scheduling conflicts and prioritize executive commitments.
Meeting & Project Coordination
- Prepare presentations, reports, spreadsheets, and other meeting materials.
- Coordinate meeting logistics and partner with administrative teams across the organization.
- Support special projects and strategic initiatives, ensuring timely execution.
Travel & Administrative Support
- Coordinate domestic and international travel arrangements and itineraries.
- Process expense reports, invoices, and other administrative tasks.
Qualifications
- 510 years of experience supporting C-suite executives, preferably within finance, investment management, or other professional services environments.
- Proven experience managing complex calendars and executive priorities.
- Strong organizational, multitasking, and problem-solving skills with exceptional attention to detail.
- Ability to work independently, exercise sound judgment, and maintain confidentiality.
- Excellent written and verbal communication skills.
- Advanced proficiency in Microsoft Office, including Excel.
- Bachelor's degree preferred.
Salary: 150-165K
