Purpose of Role:

Mandelbaum Barrett PC is seeking a Technology & Automation Coordinator to support and optimize the firm's technology platforms, CRM systems, business applications, reporting tools, and digital workplace solutions. This role focuses on workflow automation, system integrations, data management, reporting, and process improvement initiatives that help departments work more efficiently and effectively across the Firm.

The ideal candidate is technically skilled, solutions-oriented, and comfortable working with multiple platforms to streamline processes, improve data quality, enhance user experiences, and support business operations.

Responsibilities

• Design, build, and maintain automated workflows and integrations using Microsoft Power Automate, Zapier, APIs, webhooks, and related technologies.
• Connect and synchronize data across HubSpot, Microsoft 365, SharePoint, website platforms, and other business applications.
• Identify opportunities to automate manual processes and improve operational efficiency.
• Administer and maintain HubSpot and other business systems.
• Manage CRM records, workflows, forms, automation, lists, reporting, and integrations.
• Maintain data integrity through audits, imports, exports, cleanup projects, segmentation, and governance practices.
• Create dashboards and reports to measure system utilization, business development activity, engagement, and operational effectiveness.
• Analyze data and recommend technology-based solutions that improve processes and user adoption.
• Manage and update website content, attorney biographies, practice area pages, publications, events, and related digital assets.
• Maintain and enhance the firm's intranet, including employee resources, announcements, navigation, and user support.
• Support application implementations, upgrades, testing, troubleshooting, and end-user training.
• Document workflows, system processes, integrations, and technology procedures.
• Partner with IT, Marketing, HR, Finance, and Operations on technology and process improvement initiatives.
• Serve as a resource for system support, reporting, automation, and business application administration.

Qualifications

• Bachelor's degree in Information Systems, Computer Information Systems, Business Technology, Computer Science, Business Administration, or a related field preferred.
• 2-5 years of experience supporting CRM platforms, business systems, workflow automation tools, digital workplace technologies, or related applications.
• Hands-on experience building and maintaining automated workflows and integrations using Microsoft Power Automate, Zapier, APIs, webhooks, and similar technologies.
• Experience troubleshooting integrations, workflow issues, and data synchronization challenges across multiple systems.
• Experience administering HubSpot, Salesforce, Microsoft Dynamics, or a similar CRM platform strongly preferred.
• Strong understanding of CRM administration, database management, reporting, data governance, and system integration best practices.
• Experience supporting Microsoft 365, SharePoint, intranet platforms, or other business collaboration tools preferred.
• Experience with WordPress or other website content management systems preferred.
• Familiarity with Google Analytics, Google Tag Manager, Search Console, Power BI, or similar reporting and analytics tools.
• Basic knowledge of HTML and website management principles preferred.
• Strong technical aptitude with the ability to learn new systems quickly and identify opportunities for process improvement.
• Excellent attention to detail when working with data, reporting, system configuration, and automation.
• Strong analytical, organizational, and project management skills.
• Ability to manage multiple priorities and meet deadlines in a fast-paced professional services environment.
• Strong communication and interpersonal skills with the ability to explain technical concepts to non-technical users and provide effective training and support.
• Experience in a law firm or professional services environment is a plus.

Compensation & Benefits

• Salary: $75,000 - $95,000 annually, commensurate with experience and qualifications. 
• Additional Compensation: Eligible for discretionary year-end bonus and merit-based increases based on performance. 
• Benefits: Comprehensive benefits package, including medical, dental, vision, 401(k), and paid time off, based on eligibility.
