Location: Fond du Lac Tribal Center – As designated
Reports To: Tribal Attorney/Legal Affairs Director
Probationary Period: 90 days – Full time
FLSA Status: Exempt (salaried)
Classification: Non-Child-Related NA
Driver's License: Level 1 - Driver's License Required.
Rate of Pay: $56,063.84-$63,071.82
Responsibilities
Issue licenses in accordance with the Fond du Lac Band of Lake Superior Chippewa Motor Vehicle Licensing Ordinance, Chapter 100; The Fond du Lac Business License Ordinance; the Fond du Lac Gaming Ordinance (Chapter 4); the Fond du Lac Tribal/State Compact on Class III Video Games (Section 6, 13); and any and all other tax and license systems established by the Band.
Perform all duties relative to the administering of the Tax and License Systems of the Fond du Lac Band.
Perform all duties relative to the implementation of Fond du Lac Tax and License Systems.
Take applications for license and issue said licenses in the manner prescribed by Band ordinances, rules and regulations.
Collect fees, issue receipts, deposit funds with the Enterprise Accounting Department, and follow the "Procedures for Receipt and Deposit of Funds" to ensure proper accountability.
Conduct administrative reviews to insure proper compliance with the Band's ordinances, rules and regulations, and to ensure valid information is being maintained.
Communicate and correspond with subject businesses and/or individuals in a manner consistent with Band ordinance, rules, and regulations to ensure proper compliance.
Records Management:
Maintain separate file systems of all records for every tax and license system, and in a manner that will ensure the safety of all records. Maintain current and accurate computer records for all tax and license systems and in a manner that will ensure their safety. Records management shall include all records created in the administering of the tax and license systems of the Fond du Lac Band.
Work with and provide the local law enforcement agencies with information on licenses issued pursuant to the Fond du Lac Motor Vehicle Licensing Ordinance, on a daily basis by sending the updated information by facsimile, email, or any other electronic means available.
In conjunction with the duties under the Motor Vehicle Licensing System, shall issue Collector Place (series 0000) and maintain records of these issuances.
Develop forms, as necessary, to ensure proper compliance with the provisions of Band ordinances, rules and regulations.
Acts as immediate supervisor of staff in the Office of the Registrar.
Appropriate work attire is required.
Must attend all mandatory department trainings.
Ensures confidentiality of financial records and all records for employees, band members and/or clients.
Displays a responsive and professional manner in promptly responding to all requests, complaints, and problems.
Recognizes that each employee is a representative of the Fond du Lac Band of Lake Superior Chippewa and is responsible for demonstrating courtesy, respect, and sensitivity to the needs of all others, including visitors and co-workers.
Represents the Fond du Lac Band of Lake Superior Chippewa and the department in a positive and professional manner in the community.
Required to maintain proper attendance including reporting to work on time in accordance with applicable policies.
Maintains a clean and organized work area.
Due to changes and modifications in the job from time to time, employees are required to be flexible and assume other responsibilities assigned by management as deemed necessary.
Qualifications
Valid Driver's License issued in the US is required.
AAS/AA Degree in Business or Management; 5 years secretarial experience; or a combination of education and experience is required.
Office experience with data entry skills is required.
Knowledge of computer applications to include word processing, Access, Excel and Microsoft Outlook is required.
Excellent organization skills are required.
General knowledge of office machines/equipment, including cash register is required.
Ability to communicate effectively orally and in writing is required.
Ability to work independently and establish priorities is required.
Attention to detail and accuracy is required.
Ability to establish professional and harmonious working relationships on all projects and with all parties involved.
Subject to drug and alcohol testing in accordance with the Fond du Lac Reservation's Personnel Policies.
Subject to pre-employment and annual background checks.
Subject to immunization review and submitted proof of required vaccinations.
