About the Role:

The Dental Office Manager plays a pivotal role in ensuring the smooth and efficient operation of a dental practice. This position is responsible for overseeing daily administrative functions, managing staff, and maintaining a high standard of patient care and satisfaction. The manager coordinates scheduling, billing, and compliance with healthcare regulations, ensuring that the office operates within legal and ethical guidelines. Minimum Qualifications:

• High school diploma or equivalent; Associate’s or Bachelor’s degree in healthcare administration or related field preferred.
• Minimum of 3 years experience in dental office management or a similar healthcare administrative role.
• Strong knowledge of dental terminology, insurance billing, and electronic health record (EHR) systems.
• Proficiency with practice management software and Microsoft Office Suite.
• Excellent organizational, communication, and leadership skills.

Preferred Qualifications:

• Certification as a Certified Dental Office Manager (CDOM) or equivalent credential.
• Experience with dental insurance claim processing and familiarity with ADA coding standards.
• Background in human resources management including hiring, training, and conflict resolution.
• Knowledge of OSHA/HIPPA regulations and infection control protocols specific to dental practices.
• Advanced skills in financial management and reporting within a healthcare setting.

Responsibilities:

• Manage daily office operations including patient scheduling, billing, and record keeping to ensure efficient workflow.
• Supervise, train, and evaluate front office and administrative staff to maintain high performance and professional standards.
• Oversee patient communications, addressing inquiries and resolving concerns to enhance patient satisfaction and retention.
• Ensure compliance with healthcare laws, insurance policies, and dental practice regulations, including HIPAA requirements.
• Coordinate with dental professionals and external vendors to maintain office supplies, equipment, and facility maintenance.
• Prepare financial reports, manage budgets, and monitor accounts receivable and payable to support fiscal responsibility.
• Implement and improve office policies and procedures to optimize operational efficiency and patient experience.
