Spare Parts Coordinator

Temp to hire
$22/hr-$25/hr Based on experience
Monday-Friday 7am-4pm
- Manage incoming customer and internal inquiries regarding spare parts quotations, orders, pricing, delivery updates, and product availability.
- Enter and maintain accurate customer quotes, orders, and account information within the ERP/order management system.
- Coordinate with suppliers to source components and verify pricing, availability, and lead times.
- Prepare and communicate quotations, order confirmations, shipment updates, and other order-related information to customers.
- Coordinate shipping and delivery logistics with warehouse personnel and transportation providers to ensure timely deliveries.
- Process order adjustments, discrepancies, returns, cancellations, and resolve shipping-related issues promptly and professionally.
- Maintain organized records of active quotes, customer orders, shipment updates, and related documentation.
- Provide necessary documentation and information to Accounting and other departments for invoicing, payment processing, and recordkeeping.
- Monitor order status and follow up proactively to support customer satisfaction and minimize equipment downtime.
- Collaborate effectively with internal departments including Sales, Service, Warehouse, Purchasing, and Accounting to support daily operations and customer needs.
- Strong verbal and written communication skills with the ability to communicate professionally with customers, suppliers, and internal team members.
- Excellent organizational skills, attention to detail, and ability to manage multiple tasks in a fast-paced environment.
- Strong problem-solving abilities with a proactive and customer-focused mindset.
- Ability to prioritize urgent requests, manage changing priorities, and remain calm under pressure.
- Demonstrated ability to work collaboratively within a team environment and share information effectively.
- Proficiency with ERP or order management systems; experience with SAP, Salesforce, JobBOSS, or similar systems preferred.
- Working knowledge of Microsoft Office applications, including Excel.
- Familiarity with shipping processes, international logistics, and HTS codes preferred.
- Previous experience in manufacturing, industrial equipment support, customer service, spare parts coordination, or related industries preferred.
- High school diploma or equivalent required; additional education or related certifications are a plus.
