Director of Facilities & MaintenanceLocation: Home Office / Multi-Site (Travel Between Communities)Reports To: Chief Operating OfficerStatus: Full-Time | Salaried | ExemptAbout the OpportunityChateau Retirement Communities is seeking a strategic, collaborative, and experienced leader to serve as our Director of Facilities & Maintenance. This position provides functional leadership for facilities and maintenance operations across all Chateau communities, ensuring our buildings remain safe, well-maintained, compliant, and welcoming for our residents and team members.This role is responsible for developing long-term facilities strategies while also supporting day-to-day operational excellence. horizon.Identify sustainability and cost-efficiency opportunities.Schedule refresh cycles for common areas, resident units, and grounds.Conduct annual reviews of all building systems and infrastructure to identify future investment needs and develop capital expenditure (CapEx) priorities accordinglyCreate and prioritize maintenance, grounds and building systems CapEx list in collaboration with ED based on inspection findings.Integrate resident and staff feedback into investment planning.Establish standardized reporting for asset conditions, preventative maintenance schedules, and capital planning forecasts across all propertiesUse a uniform template for all sites.Review and update quarterly for accuracy.Maintain a clear, accessible dashboard of facilities metrics to support strategic decision-making and Board reportingTrack KPIs such as work order completion rates, downtime, and project progress.Include data in quarterly Board packets.Maintenance Oversight and Operational ExcellenceImplement a centralized maintenance management system (CMMS/Yardi) to track service requests, preventative maintenance tasks, and equipment inventory including maintenance vehicles.Lead system setup, training, and ongoing support.Audit usage and compliance.Define and enforce standard operating procedures (SOPs) for maintenance response times, safety protocols, and resident communicationDocument clear escalation processes.Train all staff on SOPs.Manage quarterly preventative maintenance inspections for key systems such as HVAC, boilers, elevators, and life safety systemsCoordinate with ESD or MD for scheduling and records.Assign and track corrective actions.Coordinate cross-site maintenance team meetings quarterly to share best practices, address challenges, and reinforce service standardsMaintain agendas and follow-up lists.Respond to after-hours emergencies with structured escalation protocolsKeep updated emergency contact lists.Conduct post-event debriefs to improve processes.Compliance, Safety, and Risk Management (Maintenance Functional Leader)Conduct semi-annual facility audits for compliance with local, state, and federal codes.Document deficiencies and set corrective timelines.Oversee testing and maintenance of life safety systemsMaintain a master testing schedule.Ensure safety data sheets (SDS), equipment manuals, and inspection records are updated and accessibleVerify compliance during site visits.Collaborate with HR and safety committees on safety trainingEnsure safety committee meetings are happening at buildings.Track participation and completion rates.Ensure Directors are maintaining accurate records for inspections, permits, and corrective actionsPrepare for audits and licensing reviews.Coordinate and facilitate NSPIRE (HUD) InspectionsConduct pre-inspection walk-throughs.Submit corrections via the NSPIRE portal.Establish inspection performance benchmarks for insurance, NSPIRE (HUD), and other regulatory inspections, and oversee the implementation of corrective actions and safety recommendations to continuously improve facility performance and reduce organizational risk.Budgeting and Resource ManagementPrepare and manage annual maintenancePresent proposals to EDAdjust budgets for scope changes.Review and approve vendor invoices, change orders, and
