Summary Computes, classifies,recordsand verifies numerical data for use inmaintainingaccounting records by performing the following duties. Essential Duties and Responsibilities Compile and sort documents, such as invoices and checks, substantiating business transactions. Audit invoices against purchase orders, researchdiscrepanciesand process invoices for payment. Assignappropriate salesand use tax codes to invoices asrequired Obtain required approvals to allow for payment of invoicesaccording to the signature authorization matrix Assistemployees and vendors by answering questions related to accounts, procedures,paymentsand services. Obtain,codeand maintain W9 information for all suppliers to be used for IRS 1099 filings File paid invoices and checks in alphabetical order and numeric sequence Supportexternalfinancial audit requests and internal control audit requests Prepare documents for storage according to record retention policies Serve as backup support to front desk reception as needed Open, sort and distribute incoming mail daily Sort and distribute incoming email to group AP email address Requires great attention to details and accuracy Other duties may be assigned Physical Requirements Exerting up to 10 pounds of force occasionally and/or negligible amount of forcefrequentlyor constantlyto lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing arerequiredonlyoccasionallyand all other sedentary criteria are met. Education and/or Experience One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience. Language Skills Ability to read andcomprehendsimple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations tosuppliers,customers, clients, and other employees of the organization. Mathematical Skills Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Reasoning Ability Ability to apply commonsenseunderstanding to carry out instructionsfurnishedin written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
