Position Summary

We are seeking a dependable and detail-oriented Purchasing Associate to support our Purchasing and Operations teams.

This position is primarily responsible for purchase-order data entry, maintaining accurate purchasing records, communicating with vendors, following up on open orders, and assisting with other administrative purchasing activities. The ideal candidate is organized, accurate, proactive, comfortable working with computer systems, and able to manage multiple priorities in a fast-paced manufacturing environment.

This is a full-time, hourly, nonexempt position.

Key Responsibilities

• Create and enter purchase orders into the company’s ERP or purchasing system.
• Review purchase requisitions and verify part numbers, quantities, pricing, vendor information, and requested delivery dates.
• Send purchase orders to vendors and confirm that orders have been received.
• Follow up with vendors regarding order acknowledgments, pricing, availability, lead times, shipping status, and expected delivery dates.
• Update purchase orders and internal records when quantities, prices, or delivery dates change.
• Maintain accurate records of open, completed, delayed, and partially filled purchase orders.
• Communicate vendor updates and potential delays to the appropriate internal team members.
• Request routine quotes and product information from approved vendors.
• Assist with resolving basic discrepancies involving purchase orders, packing slips, invoices, quantities, or pricing.
• Maintain vendor contact information and other purchasing records.
• Organize and retain purchasing documents, vendor correspondence, confirmations, and related records.
• Coordinate with Production, Inventory, Engineering, Receiving, and Accounting as needed.
• Help identify purchasing items that require follow-up or management attention.
• Assist the Purchasing team with reports, spreadsheets, document preparation, and other administrative assignments.
• Perform other related duties as needed.

Required Qualifications

• At least one year of experience in purchasing, order processing, data entry, inventory administration, customer service, or a related administrative position.
• Strong data-entry skills with a high level of accuracy.
• Strong attention to detail and commitment to maintaining accurate records.
• Good written and verbal communication skills.
• Professional and courteous communication with vendors and coworkers.
• Strong organizational and time-management skills.
• Ability to follow established procedures and manage multiple assignments.
• Ability to work independently while also contributing as part of a team.
• Basic proficiency with Microsoft Excel, Outlook, and other standard office applications.
• A high school diploma or higher.
• Ability to learn and work effectively in an ERP purchasing system.

Preferred Qualifications

• Previous purchasing or procurement-support experience.
• Experience working in a manufacturing, distribution, inventory, or parts-based environment.
• Experience creating and maintaining purchase orders.
• Familiarity with vendor follow-up, order acknowledgments, lead times, and shipping documentation.
• Experience using ERP, inventory-management, or purchasing software.
• Basic understanding of receiving and accounts-payable workflows.
• A year or more of college-level coursework in business-related subjects.
• Spanish-language ability is an added plus.
