Position Summary

Nexus of Hope is seeking a dependable, compassionate, and organized Certified Medical Assistant (CMA) to join our outpatient psychiatric care team in Burnsville, MN.

This position plays an important role in both the clinical and day-to-day operations of our practice. The Medical Assistant will work closely with our psychiatric providers and patients while also assisting with administrative and front desk responsibilities as needed. Because we are a small, collaborative team, we are looking for someone who is flexible, takes initiative, and is comfortable shifting between responsibilities based on the needs of the clinic.

A unique part of this position is the opportunity to receive training as a Transcranial Magnetic Stimulation (TMS) Technician . Once trained, you will assist in administering prescribed TMS treatments to patients under the direction and supervision of our clinical providers.

This is a fully in-person position at our Burnsville clinic. Remote work is not available.

Essential Duties & Responsibilities

Clinical Responsibilities

• Measure, record, and document patient vital signs.
• Obtain and document patient histories, interviews, and chief complaints in the Electronic Health Record (EHR).
• Prepare patients for appointments, psychiatric evaluations, and routine screenings.
• Collect, process, and document laboratory specimens, including urine drug screens (UDS).
• Prepare prescription and medication refill requests for provider authorization.
• Assist with medication refills, prior authorizations, and pharmacy coordination.
• Provide patient education regarding medications, treatment instructions, and provider-directed care plans.
• Support psychiatrists and other providers to maintain an efficient clinical workflow.
• Maintain and stock clinical supplies and equipment.
• Clean and sanitize clinical equipment and instruments according to established procedures.
• Follow OSHA, infection-control, and workplace safety standards.
• Utilize CPR and emergency response skills when necessary.
• Complete training to become a TMS Technician and administer prescribed TMS treatments under provider direction.

Administrative & Patient Support

• Welcome patients and provide professional, compassionate customer service.
• Guide new patients through the intake process and explain applicable office policies.
• Assist patients with general questions regarding insurance coverage, copays, and deductibles.
• Answer incoming phone calls and assist with patient questions and concerns.
• Assist with scheduling, front desk coverage, and medical secretary responsibilities as needed.
• Maintain accurate, timely, legal, and ethical documentation.
• Protect patient confidentiality and maintain accurate records in accordance with HIPAA requirements.
• Assist with additional administrative or operational responsibilities based on clinic needs.
• Perform other position-related duties as assigned.

Minimum Qualifications

• High school diploma or equivalent required.
• Completion of a recognized Medical Assistant training program and Medical Assistant certification.
• At least one year of experience working in a medical office and/or mental health setting .
• Experience using Electronic Health Record (EHR/EMR) systems.
• Strong computer and typing skills.
• Working knowledge of HIPAA, infection control, and other healthcare safety and confidentiality requirements.
• Excellent communication and customer service skills.
• Ability to remain professional and calm when assisting patients in challenging or sensitive situations.
• Strong organizational and time-management skills with the ability to prioritize multiple responsibilities.
• Ability to think critically, problem-solve, and work independently when appropriate.
• Strong attention to detail and commitment to accurate documentation.
• Compassionate and empathetic approach to working with mental health patients.
• Ability to maintain patient confidentiality and professional boundaries.
• Ability to work collaboratively as part of a small clinical team.

Preferred Qualifications

• Associate's or bachelor's degree, or additional healthcare-related education or certification.
• Previous experience in psychiatry, behavioral health, or mental health.
• Familiarity with insurance verification, prior authorizations, and medical billing processes.
• Experience with Google Workspace.
• Previous experience with TMS or other interventional psychiatric treatments is a plus but not required; training will be provided .

Physical Demands & Work Environment

This position is performed primarily in a clean, professional outpatient medical office environment.

The employee must be able to communicate effectively with patients and coworkers and regularly use computers, phones, medical equipment, and other office tools. The position may require periods of sitting, standing, walking, reaching, bending, and other routine physical activity.

The employee must occasionally be able to lift and/or move up to 25 pounds. The role may involve exposure to bodily fluids and other typical healthcare workplace hazards. Employees are expected to follow all applicable safety, infection-control, and OSHA requirements.
