Facilities Manager

The Facilities Manager is responsible for overseeing the physical well-being and maintenance of the company's facilities, which can include buildings, infrastructure, and other physical assets. The role involves a wide range of responsibilities to ensure that the facilities are operating efficiently, safely, and in compliance with regulations.

Essential Functions

• Coordinate and oversee the maintenance and repair activities for buildings, equipment, and systems. This includes HVAC (heating, ventilation, and air conditioning) systems, plumbing, electrical systems, and more.
• Optimize the use of space within facilities, ensuring that it meets the organization's needs. This can involve planning and overseeing office layouts, relocations, and expansions.
• Implement and manage security measures to protect the facilities, employees, and assets. This may include access control, surveillance systems, and emergency response planning.
• Ensure compliance with health and safety regulations. Develop and implement safety policies and procedures, conduct regular inspections, and address any safety concerns promptly.
• Develop and manage budgets for facility-related expenses. This includes planning for routine maintenance, repairs, renovations, and other facility-related projects.
• Work with external service providers and vendors for facility-related services, such as cleaning, landscaping, security, and maintenance. Negotiate contracts and ensure that services meet the required standards.
• Implement and oversee initiatives to promote environmental sustainability within facilities. This may include energy efficiency measures, waste reduction programs, and the use of environmentally friendly materials.
• Develop and implement plans for emergency situations, such as fires, natural disasters, or other crises. Ensure that employees are trained on emergency procedures.
• Stay informed about and ensure compliance with local, state, and federal regulations related to facilities management.
• Effectively communicate with various stakeholders, including employees, management, and external partners. Keep stakeholders informed about facility-related matters and changes.
• Oversee facility-related projects, from planning and budgeting to execution and completion. This may include renovations, expansions, or the implementation of new systems.
• Facilitate and manage movement of materials and inventory between off-site warehouse locations and main facility.
• Perform other duties as assigned.

Education

• Bachelor's degree preferred.

Required Experience & Competencies

• Proven track record in coordinating and overseeing maintenance and repair activities for buildings, equipment, and systems, including HVAC, plumbing, and electrical systems.
• Experience optimizing space within facilities, implementing security measures, ensuring health and safety compliance, managing budgets, working with vendors, promoting environmental sustainability, and planning for emergencies.
• Knowledge of local, state, and federal regulations related to facilities management and experience ensuring compliance with these regulations.
• Excellent communication skills with the ability to effectively communicate with various stakeholders, including employees, management, and external partners, to keep them informed about facility-related matters and changes.
• Strong problem-solving skills to address facility-related challenges and implement effective solutions.
• Sound decision-making skills to make informed decisions regarding facility management issues and projects.
• Keen attention to detail to ensure accuracy in facility management activities, including budgeting, maintenance, and regulatory compliance.
• Flexibility to adapt to changing facility management needs, priorities, and regulations.
• Collaborative approach to working with internal teams, external vendors, and stakeholders to achieve facility management goals.
• Excellent time management skills to prioritize tasks, meet deadlines, and manage multiple projects simultaneously.
• Solid technical knowledge of building systems and facilities management practices.
