Facilities Manager

Essential Job Duties and Responsibilities: At International SOS, we are in the business of protecting and saving lives. For 40 years, we have delivered customised security risk management, health, and wellbeing solutions to organisations worldwide. With a presence in 90 countries and a team of nearly 13,000 experts, we provide 24/7 support to help organisations fulfil their Duty of Care responsibilities. Now, we’re looking for talented individuals to join our team and make a difference. The Facilities Manager is responsible for the day-to-day operations, maintenance, and safety of International SOS's facility in San Antonio. This role involves coordinating building services, overseeing vendors, supporting office infrastructure, and ensuring compliance with relevant health, safety, and environmental regulations. The Facilities Manager will work cross‑functionally to ensure that the work environment remains secure, efficient, and supportive of business operations. Key Responsibilities: (Critical responsibilities and skills of this position, listed in order of importance) Oversee daily building operations including maintenance, janitorial services, general repairs, and security, and safety systems. Manage service contracts and vendors, ensuring timely and high‑quality delivery of facility services. Coordinate preventive maintenance schedules and ensure compliance with safety and regulatory standards. Conduct regular inspections of buildings, grounds, and equipment to identify and resolve issues proactively. Respond to emergency maintenance issues and act as the point of contact for after‑hours incidents. Assist with office logistics, including moves, furniture setup, supply management, and deliveries. Collaborate with IT, HR, and Security teams to support operational needs related to the facility. Lead and mentor a team of receptionists and technicians. Support the planning and execution of small‑scale facility upgrades or workspace changes. Maintain accurate records of maintenance activities, inspections, and compliance certifications. Support emergency preparedness and response planning for facility‑related incidents. Coordinate compliance with OSHA standards, fire codes, and internal safety policies. Monitor and track the facilities budget; identify cost‑saving opportunities. Required Skills and Knowledge (Brief description of technical knowledge or skills needed to perform the job) Working knowledge of building systems (HVAC, plumbing, electrical, security systems). Familiarity with health & safety regulations and building codes. Strong problem‑solving and organisational skills. Ability to manage multiple priorities and respond to urgent situations effectively. Good interpersonal and communication skills. Basic computer skills; familiarity with CMMS (Computerised Maintenance Management Systems) is a plus. Strong verbal and written communication skills. Sets high standards for quality and quantity/output. Problem‑solving capabilities for self and others within the team. Strong business acumen and ability to interface with all levels of leadership and cross‑functional staff. Team player with demonstrated project management skills with minimal supervision. Ability to tailor program knowledge for various audiences, with the objective to develop clear, targeted communications in a variety of formats. Working with people: Demonstrates an interest in and understanding of others; adapts to the team and helps foster a sense of team spirit; listens, consults others, and communicates proactively; appreciates cultural differences and adapts based on time zones and project timelines/deadlines. Coping with pressure and set‑backs: Works productively in a high‑pressure environment; keeps emotions under control during difficult situations; balances the demands of work‑life while maintaining a positive outlook; handles constructive feedback well and continuously learns and improves from it. Required Work Experience (Brief description of the job‑related experience needed to perform the job) Proven experience in business communications, story creation, and project development; familiarity with health care administration or military background. Proven ability to adapt to new industries/environments and workplace cultures. Embraces new challenges and quickly familiarises oneself, in terms of company, organisational structure, business goals, and internal/external stakeholder expectations. Required Qualifications (Brief description of the educational background needed to perform the job) High School Diploma or GED required; technical certification or associate degree in facilities management or related field preferred. Minimum of 4 years of experience in commercial building maintenance, with at least 2 years in a supervisory role. Strong knowledge of building systems including HVAC, electrical, plumbing, and fire safety. Familiarity with OSHA regulations and facility compliance standards. Excellent organisational, communication, and leadership skills. Ability to work flexible hours and respond to facility emergencies as needed. Required Languages (Brief description of the language skills needed to perform the job) English, fluent – reading, writing, speaking. Spanish, proficient – preferred but not required. Physical Requirements Ability to lift and carry up to 50 pounds. Frequent standing, walking, bending, kneeling, and climbing ladders or stairs. Manual dexterity to operate tools and equipment. Visual acuity to inspect facilities and read technical documents. Ability to work in varying environmental conditions, including indoor and outdoor settings, and exposure to noise, dust, and temperature fluctuations.
