Program Assistant

Position Summary The Department of Spanish and Portuguese is looking for an enthusiastic graduate student who can provide a variety of administrative roles to support the department and gain hands‑on experience in office operations, events and communications. This position is only for the summer 2026 (June 1 – Aug 7). Duties and Responsibilities: Welcome and assist students, faculty, staff, and visitors in the main office Answer and direct phone calls and respond to basic inquiries Pick up and sort mail and packages; make occasional on‑campus deliveries Help with everyday office tasks like data entry, document formatting, copying, scanning, and filing Keep office supplies stocked and organized; submit work requests when needed Help schedule and manage conference room calendars Support departmental events and projects Assist with tracking department equipment and materials Help update the department’s social media and website Represent the department at New Student Orientation (NSO) sessions Perform other miscellaneous job‑related duties as assigned Minimum Qualifications Equivalencies not found for this position Preferred Qualifications Current graduate student in the Spanish & Portuguese program preferred Friendly, professional, and comfortable interacting with students and visitors Organized and able to manage tasks independently Comfortable with basic computer tasks (Word, email, simple data entry) Interest in supporting department events and student engagement Available during summer business hours (Monday–Friday, 8:00 AM–5:00 PM; schedule can be flexible) Bilingual in English/Spanish or English/Portuguese preferred Application Instructions Only applications submitted through the official UNMJobs site will be accepted.
