Accounts Payable Coordinator

This position is responsible for processing and maintaining accounts payable transactions for the school district. This position ensures invoices, purchase orders, payments, and related financial records are processed accurately, timely, and in accordance with district policies, accounting procedures, and applicable regulations.

Essential duties include reviewing, verifying, and processing invoices for goods and services purchased by the district; matching invoices with purchase orders, receiving documentation, and appropriate approvals; entering accounts payable transactions accurately into the district's accounting system; preparing and processing checks, electronic payments, and other disbursements; maintaining accurate vendor records, including tax information and payment details; responding to questions from vendors, schools, administrators, and district staff regarding invoices and payments; researching and resolving discrepancies involving invoices, purchase orders, receiving records, and payments; reconciling vendor statements and accounts payable records; monitoring outstanding invoices and ensuring payments are made according to established schedules; maintaining organized electronic and paper records in accordance with district record-retention requirements; assisting with month-end and year-end closing procedures; preparing reports and documentation for accounting, budgeting, and auditing purposes; ensuring transactions comply with district policies, purchasing procedures, and applicable state and federal requirements; protecting confidential financial and vendor information; possessing and practicing strong interpersonal skills with a wide variety of people both inside and outside the school district; being a positive team builder who works in a collaborative manner; and performing other accounting and administrative duties as assigned.

Other duties include other duties as assigned by the Executive Director of Financial Services.

Required qualifications include a high school diploma or equivalent, strong attention to detail, ability to maintain organized financial records and meet deadlines, problem-solving and analytical skills, professional communication and customer-service skills, ability to work effectively with school district staff, administrators, and vendors, proficiency with Microsoft Excel, Word, email, and accounting or financial-management software, ability to maintain confidentiality and exercise sound judgement, knowledge of accounts payable procedures, purchase orders, invoice processing, and basic accounting principles, and ability to manage multiple priorities.

Health & safety requirements include ability to sit and work at a computer for extended periods, ability to frequently use a keyboard, computer, telephone, and other standard office equipment, ability to occasionally lift or move files, boxes, or office supplies as required.

References are required and a background check is required.

Preferred qualifications include coursework or an associate degree in accounting, business, or a related field, previous accounts payable, bookkeeping, accounting, or financial office experience, and experience working in a school district business office or other public-sector environment.

Working conditions include frequent sitting, talking, lifting, carrying, moving about, hearing, and speaking, and occasionally lifting and/or moving 25 to 50 pounds. Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Equipment used includes general office equipment and educational software.

Salary and benefits range from $28.65 to $34.74. Clarkston School District offers a competitive benefits package to employees who work half-time or more, including medical, dental, life insurance, and long-term disability insurance options.
