Job Overview

MSS, Inc., based in Nashville, Tennessee, designs and manufactures advanced sensor-based optical sorting equipment for the recycling and waste management industry. Since 1974, MSS has served a variety of applications, including single and dual-stream MRFs, plastic recycling, construction and demolition recycling, metal recycling, and electronic scrap processing. We are currently seeking a Service Coordinator to join our Service Department in Nashville, TN. This is an excellent opportunity for a highly organized, customer-focused individual who enjoys coordinating multiple priorities, working across departments, and supporting a fast-paced technical service team.

The Service Coordinator will provide critical in-house support to our field service technicians and service leadership by assisting with parts sales and order coordination, customer communication, service documentation, scheduling, and preparation of field installation kits.

Duties

• Serve as the primary in-house contact for customer phone calls and emails related to replacement parts
• Prepare customer parts quotes and process parts orders through Epicor
• Provide customers with pricing, availability, and order status information
• Coordinate with service technicians when parts require programming, configuration, or other preparation before shipment
• Coordinate with Shipping and other internal departments to ensure orders are complete and properly prepared before shipment
• Process parts returns and related documentation as needed
• Assist with compiling, organizing, and formatting field service trip reports
• Help document troubleshooting procedures, service findings, and other service-related information
• Assist with PowerPoint presentations and other service documentation
• Use AI productivity tools, including ChatGPT or similar tools, to assist with drafting, organizing, summarizing, and improving service documentation
• Maintain and update the Service Department calendar based on direction from service management
• Record scheduled customer visits, technician travel, and other service activities
• Help ensure scheduling information remains current, organized, and visible to the service team
• Pull and stage parts for field installation kits before equipment shipment
• Use predefined Excel parts lists, Epicor printouts, and other documentation to accurately pull required items
• Coordinate with the Service Department and Shipping to ensure field installation kits are complete and ready when needed
• Ensure parts are properly documented, recorded, and issued to projects in Epicor
• Provide general administrative and operational support to the Service Department as needed

Required Qualifications

• Previous experience working with an ERP system in parts, order processing, service support, manufacturing, distribution, or a similar environment
• Strong computer skills, including Microsoft Outlook, Excel, Word, and PowerPoint
• Strong written and verbal communication skills
• Strong organizational skills and attention to detail
• Ability to manage multiple priorities and follow tasks through to completion
• Ability to work independently while coordinating effectively with customers and multiple internal departments
• Professional and customer-focused communication skills
• Willingness and ability to learn new software and productivity tools, including AI-assisted documentation tools
• Dependable, proactive, adaptable, and team-oriented

Preferred Qualifications

• Previous Epicor ERP xhyhwjd experience strongly preferred
• Previous experience in parts sales, parts coordination, service coordination, or customer support
• Experience in a manufacturing, industrial equipment, machinery, or technical service environment
• Experience creating or formatting reports, service documentation, or Microsoft PowerPoint presentations
• Familiarity with ChatGPT or other AI productivity tools

Work Schedule

• Full-Time, Hourly
• 40 hours per week
• Nashville, Tennessee
• No travel required

$25 - $28 per hour
