Patient Coordinator I

The Patient Coordinator I greets and establishes first contact with patients. The role includes performing in a call center capacity. This position requires confirming and updating patient demographics. Verification of insurance is necessary to ensure that patients have appropriate coverage for the physician they are seeing. Duties include greeting patients in person or via telephone. Updating their insurance and demographics in the practice management system is essential. It is important to ensure that the physician accepts the insurance that patients present. If insurance verification is not done prior to the visit, it must be verified at the time of arrival before the visit. Communication with appropriate staff regarding patient's arrival is vital. The Patient Coordinator must ensure that the patient's medical record is available for the physician. Processing and updating HIPAA-related paperwork and other institutional forms is necessary. Collecting or retrieving referrals or insurance authorizations as required is part of the responsibilities. It is essential to review the status of the waiting room routinely, keeping patients informed of wait times. The coordinator ensures that patients have paid their co-pay or collects co-pay under the direction of billing staff. Providing patients with receipts is part of established cash-control processes. Follow-up appointments may be scheduled as needed. Patients are provided with guidelines for requesting medical records, if necessary. Simple charge entry tasks or entering payments collected from patients may also be performed. Answering phones and scheduling appointments is required. All HIPAA and any governmental or state agency requirements regarding the handling of PHI documents must be followed. Initiating reminder phone calls for next-day appointments may be performed. Additional related duties may be assigned as necessary. The work environment requires manual dexterity for handling charts and using office equipment. The role involves using a computer keyboard and calculator. The employee must be able to stoop and bend to retrieve files and supplies. Sitting, standing, or moving around for extended periods of time is expected. Maneuvering to photocopy insurance cards and interacting with patients in the waiting room is necessary.
