Compensation: $6500 - $7500/month (depending on experience)

We are a Los Angeles-based company managing a diverse portfolio of operating businesses, real estate assets, and private investments. Our portfolio includes multifamily and commercial real estate, retail, food and beverage, and private lending throughout Southern California.

We operate in a lean, entrepreneurial environment and are actively looking to modernize and automate our internal financial and operational processes through AI, automation, and technology.

Position Overview

We are seeking an AI & Financial Operations Manager who is highly comfortable with AI tools, automation platforms, and technology-driven workflows.

This is not a traditional accounting or controller position . While the role requires a general understanding of finance, accounting, and bookkeeping concepts, the primary focus is on identifying, building, and managing AI-enabled systems that make the organization more efficient.

The ideal candidate will understand how financial and operational workflows function, but more importantly, will know how to use AI and automation tools to reduce manual work, improve reporting, organize information, automate repetitive processes, and create greater visibility across multiple businesses and assets.

Candidates should have a Bachelor’s degree in Finance, Accounting, or a closely related field, but do not need to be a CPA or have an extensive traditional accounting background.

Primary Responsibilities

AI, Automation & Process Improvement

• Identify repetitive financial, administrative, and operational processes that can be automated using AI and workflow automation tools.
• Build and maintain AI-enabled workflows for reporting, data organization, transaction review, document processing, invoice management, financial analysis, and internal communication.
• Utilize tools such as ChatGPT, Claude, Gemini, Microsoft Copilot, Zapier, Make, n8n, or similar AI and automation platforms.
• Connect accounting, banking, payroll, property management, and operational systems to improve the flow of information between platforms.
• Develop automated dashboards, reports, notifications, and workflows for ownership.
• Use AI to assist with data analysis, financial summaries, cash-flow reporting, variance identification, document review, and operational decision support.
• Continuously evaluate emerging AI tools and recommend practical applications for the organization.
• Create scalable processes and workflows that reduce reliance on manual spreadsheets, repetitive data entry, and administrative tasks.
• Document automated workflows and help establish standardized operating procedures across the organization.

Financial Operations

• Maintain a working understanding of bookkeeping, accounts payable, accounts receivable, payroll, reconciliations, cash flow, and month-end reporting.
• Review financial information across multiple entities and help ensure records remain organized and accurate.
• Work with QuickBooks Online and other accounting platforms to support transaction categorization, reconciliations, and reporting.
• Assist with weekly cash-flow reporting and ownership-level financial summaries.
• Coordinate vendor payments, invoices, receivables, and expense tracking.
• Maintain organized financial records for the external CPA and assist with tax-ready bookkeeping processes.
• Help ownership monitor expenses, financial trends, outstanding items, and cash requirements.
• Support payroll administration through platforms such as Rippling.

Asset & Property Operations

• Support asset management activities for a 38-unit multifamily property in the Los Angeles area.
• Coordinate with third-party property management regarding leasing, collections, maintenance, expenses, and property-level reporting.
• Track occupancy, delinquency, turnover, unit renovations, and leasing activity.
• Review contractor bids, renovation scopes, project budgets, invoices, and completed work.
• Assist ownership with budgeting, insurance documentation, lender reporting, and property-related recordkeeping.
• Develop automated reporting systems that provide ownership with clearer visibility into property performance.

Qualifications

• Bachelor’s degree in Finance, Accounting, Business, Economics, or a closely related field required.
• Strong familiarity with artificial intelligence tools and workflow automation.
• Hands-on experience using platforms such as ChatGPT, Claude, Gemini, Copilot, Zapier, Make, n8n, or comparable tools.
• Demonstrated ability to automate administrative, financial, reporting, or operational workflows.
• General understanding of bookkeeping and accounting concepts, including AP/AR, reconciliations, cash flow, expense categorization, and financial reporting.
• Familiarity with QuickBooks Online, Xero, Ramp, Rippling, or similar finance/accounting platforms.
• Strong Excel and/or Google Sheets skills.
• Ability to learn new technology quickly and independently.
• Strong analytical, organizational, and problem-solving skills.
• Comfortable working directly with ownership in a fast-moving, entrepreneurial environment.
• Ability to manage multiple projects, systems, entities, and priorities simultaneously.

Preferred Qualifications

• Experience creating AI agents, automated workflows, API integrations, or no-code/low-code automations.
• Experience with tools such as Zapier, Make, n8n, Airtable, Notion, Power Automate, or similar platforms.
• Experience using AI for financial analysis, reporting, document processing, data extraction, or workflow optimization.
• Familiarity with real estate, multifamily operations, asset management, or property management.
• Experience in a multi-entity, family office, private investment, or entrepreneurial business environment.
• Familiarity with accounting automation platforms such as Ramp, Digits, Zeni, Booke, or similar systems.

Ideal Candidate

The ideal candidate is someone who is technology-first rather than accounting-first.

You understand the fundamentals of finance and bookkeeping well enough to recognize how financial workflows should operate, but your real strength is figuring out how technology and AI can make those workflows faster, smarter, and more efficient.

You are the type of person who sees a repetitive spreadsheet, manual report, invoice process, or administrative task and immediately starts thinking about how it could be automated.

You should be comfortable experimenting with new AI tools, building workflows, troubleshooting systems, analyzing data, and working directly with ownership to continuously improve how the organization operates.

The successful candidate will combine a solid financial foundation with strong AI fluency, curiosity, initiative, and an ability to turn technology into practical business solutions.
