Program Development Coordinator

As the Program Development Coordinator at Three Sisters Gardens, you will play a central role in advancing the organization's mission through strategic grant development, program oversight, and community partnership building. Reporting directly to the Executive Director, you will lead funding efforts, support staff and programs, and manage key financial and administrative functions. Your work will be essential to sustaining and growing Three Sisters Gardens' impact in promoting food sovereignty and addressing food insecurity in our community.

Key Responsibilities:

Grants & Fund Development (35%)

• Research, write, and submit grant proposals to foundations, government agencies, and other funding sources
• Track grant deadlines, reporting requirements, and funding expenditures
• Maintain organized records of all grant applications, awards, and correspondence
• Assist with broader fundraising efforts, manage donations, and issue Gift Acknowledgement Letters

Program Oversight & Staff Support (25%)

• Oversee the day-to-day operations of organizational programs, including the volunteer and intern program
• Provide direct support to program staff, including onboarding, supervision coordination, and performance tracking
• Assist with planning and implementing special events and community outreach activities
• Keep abreast of trends and changes in the nonprofit sector and 501(c)(3) regulations, and advise the Executive Director accordingly

Financial Management (15%)

• Administer Accounts Payable and Accounts Receivable
• Develop and monitor the annual budget
• Produce quarterly financial reports and budget projections
• Maintain an internal system for tracking financial transactions
• Regularly apprise the Executive Director of revenue and expense status

Partnership Development (10%)

• Identify, cultivate, and maintain relationships with community partners, funders, and stakeholders
• Represent Three Sisters Gardens at community meetings and collaborative initiatives
• Support the development of MOUs, contracts, and other formal partnership agreements

Administration & HR (10%)

• Handle human resources activities including payroll, timekeeping, and job descriptions for staff and interns
• Assist with hiring and contracting for new staff positions
• Ensure compliance with state and federal employment laws
• Manage insurance requirements and policies
• Develop and maintain administrative policies and procedures
• Maintain confidential records including HR files, account information, and passwords

Data Management (5%)

• Maintain organizational databases and ensure data integrity
• Track and report program outcomes and metrics to support grant reporting and organizational learning
