RECEPTIONIST

Contacts inside : Various departments within each division Contacts outside: Customers and manufacturers Role and Responsibilities To promote our company in answering telephones and directing calls to the appropriate departments in the most efficient and effective manner. Check daily work reports. Take mail to the post office if needed. Assist in organizing and maintaining stock of office and kitchen supplies. Operate office machines. Process outgoing mail. Type letters prepare worksheets and other various tasks on computer. Assist customers with any concerns or questions they may have about their accounts. Bill customers for material received and issue credits to their account when necessary. Assist Inside Sales and Purchasing as needed. Daily contact with vendors to request information on purchase orders and any other information as needed. Help with overdue invoices with customers and Accounting. Nature and Scope 70% of employee's time is spent answering telephone. Some decision making in job functions. 10% of employee's time is spent helping organizing and restocking supplies. 20% of time spent assisting inside sales and purchasing. Lifting up to 20-25 lbs. and standing for 1 hour is required for these tasks. These tasks require being able to lift up to 10 lbs., depending on how heavy the mail is on any given day. REQUIRED EDUCATION/KNOWLEDGE AND EXPERIENCE: High school diploma 6 to 12 months of receptionist experience Must be well spoken and have good grammar Must have experience with Word, Excel, and Outlook PREFERRED: Business courses Working Conditions Normal office working conditions. Moderate levels of stress due to deadlines, high level of accuracy required, and multiple tasks. Prolonged periods of sitting at a desk and working on a computer. Ability to lift up to 20-25 lbs. on occasion, to lift up to 10 lbs. daily. Working hours 8:00 a.m. to 5:00 p.m., Monday through Friday with one hour for lunch.
