Account Coordinator

We are seeking an energetic, detail-oriented Account Coordinatorto serve as the liaison between customers, sales team, and internal operational teams bridging the gap of missing information. In this role, you will ensure seamless end-to-end order flow. Resolving missing information, tracking fulfillment timelines, and coordinating with sourcing, logistics, and inventory teams. Key Responsibilities

Sales Support & Showroom Prep

• Provide support to the sales team by creating and maintaining sales sheets, sales decks, product availability and product information.
• Coordinate with the sales team and showroom managers to ensure all documentation and show room is ready for in person meetings.
• Manage Vendor Portals

Order Processing and ERP Management

• Intake orders from the sales team, entering and managing sales orders accurately within our ERP system and internal workflow management tools.
• Track order status and proactively communicate major updates, stock shifts, or lead-time changes to sales reps and customers.
• Oversee end-to-end fulfillment accuracy to ensure customer orders arrive complete and on schedule.

Operations Coordination & Problem Solving

• Serve as the primary liaison connecting customers and sales reps with internal teams (Sourcing, Logistics, Inventory, and Accounting).
• Coordinate with inventory and logistics teams to confirm order coverage, verify purchase order issuance and track freight bookings.
• Manage Customer RMAs (Return Material Authorization), ensuring return inventory is tracked and customer credits are processed accurately.
• Investigate and resolve complex order issues, including shipping discrepancies, customer chargebacks and retailer compliance fines.

Qualifications & Requirements

• Experience: 2+ years of experience in corporate customer service, B2B account coordination, order management, or a related operational role
• Education: High School Diploma, Bachelors degree preferred.
• Willingness to travel 5%10% for in-person customer meetings or trade show support as needed.
• Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Advanced proficiency with Excel and PowerPoint is a strong plus.
• Experience with ERP and database systems (e.g., Sage 100, Microsoft Dynamics 365, or Airtable) preferred, but not required.
• Comfortable working in the "gray area"able to work independently, think critically, and find proactive solutions when clear guidance isn't immediately available.
• Exceptional written and verbal communication skills across internal departments and external accounts.
