Assistant Property ManagerAs an Assistant Property Manager, you will support the Real Estate Management team in the day-to-day operations of the MetroCentre portfolio. We go above and beyond to protect and grow relationships by anticipating needs, being honest and considerate, and valuing customers as genuine partners.You Will Be Responsible ForCustomer Relationship ManagementAssist in establishing and maintaining "World Class" customer relationships through understanding customer needs and concerns as part of the Oxford CommitmentCoordinate regular customer meetingsEnsure prompt and courteous attention to all customer requests, internal and externalPreparation of customer notices, internal newsletters, and monthly newsletters to TenantsMaintain customer manualsCoordinate customer move-in and move-out proceduresCoordinate customer event requirements and Green Team meetingsMaintain Lobby Directories & Elevator screen content in all MetroCentre buildingsManage site specific content & updates to Oxcomm customer app for the MetroCentre PortfolioProvide support to Community Manager initiativesReportingAssist in ensuring all reports are prepared accurately and in a timely manner, recognizing the importance of internal and external relationshipsAssist with annual budget preparation and quarterly reforecasting/reportingAssist with monthly accruals and management reporting, including operating variance analyses, leasing cost and capital projects trackingCollect and track retail sales reportingAccounts Receivable / PayableSupport the Property Administrator to ensure accuracy of billings and collections are received on timeAssist with default preparation and delivery notices to customersProvide support to Building & Tenant Relations Coordinator for invoice payment and coding directionLease AdministrationPrepare and deliver notices to customers with respect to lease administrationLease interpretation and ensure requirements are adhered toMonitor and complete leasehold improvement allowance requirements as per the leaseOffice & Retail LeasingMaintain record of ongoing leasing updates for both Office and Retail meetingsSupport leasing and property teams with customer renewals, expansions, vacant suite standards maintenance, and tours as neededUpdate the Oxford building pages on the Oxford web site as requiredCoordinate Broker fees, payments, and distributionMaintain storage records and administer new agreementsAssist Specialty Leasing with temporary license agreements & PATH activationsOperations, Construction, DevelopmentMaintain Emergency Management plan updates, contacts and emergency notifications listsAssist Operations team with various building inspections and requirementsAssist Construction Manager during leasehold improvement and Landlord's work processesWork with Risk Management as required on Insurance related issuesCoordinate with Security, Cleaning, Parking operators as requiredWork with Development to support site related projectsRequired Skills & Experience3 -5 years' experience in Real Estate Management requiredPost-secondary degree with focus in business or real estateDemonstrated ability to multi-task and manage priorities under pressure with careful attention to detailDemonstrated financial, analytical and decision-making skillsStrong Computer skills and knowledge of MS Office required, basic knowledge in Yardi preferredExcellent communication skills both written and oralStrong interpersonal skills for successful teamwork working closely with customersPreferred Skills & ExperienceEnrolment in RPA/CPM is an assetFamiliarity with LEED EB submissions, BOMA Best and BOMA Certificate of ExcellenceAbility to find creative solutions and help drive resultsThrive in organizations that constantly evolve and adapt.Embrace collaborative sharing of knowledge within a teamwork environmentDriven to achieving results and continuously striving to deliver the highest performance through creative thinkingThis posting is for an existing vacancy. The expected salary range for this position is $72,000 to $82,000 per year.
