This is a remote position.

We’re looking to hire a  Referral Coordination Specialist who can manage day-to-day referral activities and provide administrative support to ensure patients and members receive timely access to appropriate healthcare services. Candidates applying for the role should be highly organized and able to manage multiple referrals, requests, appointments, and follow-up activities at the same time.

Experience with healthcare administration, patient scheduling, referral coordination, medical offices, insurance, or customer service is highly valued. Candidates should have excellent communication skills and understand the importance of accuracy, confidentiality, and compassionate service when working with patients, providers, and healthcare organizations.

Ideally, the candidate should be able to coordinate referrals from initial request through completion, communicate effectively with patients and providers, maintain accurate records, and resolve routine administrative issues. The candidate should contribute to efficient healthcare operations by ensuring referral information is complete, properly documented, and followed through in a timely manner.

Responsibilities

• Receive, review, and process patient and member referral requests.
  
• Coordinate appointments and referrals with healthcare providers and facilities.
  
• Verify referral information, eligibility, and required documentation.
  
• Communicate with patients, members, providers, and internal teams regarding referral status.
  
• Maintain accurate referral records and update electronic systems and databases.
  
• Track pending referrals and follow up on outstanding documentation or appointments.
  
• Assist with insurance authorization and referral-related requirements when applicable.
  
• Identify incomplete or inaccurate information and coordinate corrections.
  
• Prepare referral-related correspondence, reports, and documentation.
  
• Protect patient and member information and follow applicable privacy and confidentiality procedures.
  
• Escalate complex referral issues to the appropriate department or supervisor.
  
• Perform other healthcare administrative and coordination duties as assigned.
  

Requirements

• Proven work experience in healthcare administration, referral coordination, medical office support, patient services, or a similar role.
  
• Excellent written and verbal communication skills.
  
• Strong computer skills, including Microsoft Office or comparable productivity software.
  
• Experience with electronic health records (EHR), medical databases, scheduling platforms, or referral-management systems is preferred.
  
• Strong organizational and time-management skills.
  
• Ability to manage multiple referrals, priorities, and deadlines simultaneously.
  
• Strong attention to detail and accuracy.
  
• Professional, compassionate, and patient-focused communication style.
  
• Strong problem-solving and follow-up skills.
  
• Ability to work independently and collaborate effectively with healthcare providers and internal teams.
  
• Ability to maintain confidentiality and appropriately handle sensitive health information.
  
• Knowledge of medical terminology, insurance processes, or referral procedures is preferred.
  
• High school diploma or equivalent required; associate’s or bachelor’s degree in Healthcare Administration, Medical Office Administration, Health Services, or a related field is preferred.
