Position Overview

At Sharon Lakes Animal Hospital in Charlotte, North Carolina, you'll be part of a close-knit general practice team focused on providing high-quality medicine, excellent client service, and compassionate care in a supportive environment.

Our Care Coordinator plays an important role in that experience. You'll often be the first and last person our clients interact with , helping ensure every visit feels organized, welcoming, and personal.

We're looking for someone who genuinely enjoys helping people, communicates confidently, stays organized when things get busy, and wants to be an important part of a growing hospital.

What You'll Do

As a Care Coordinator, you'll help manage the client experience while supporting the daily flow of the hospital. Responsibilities include:

• Welcome clients and patients with a warm, professional, and compassionate approach
• Answer incoming calls and respond to client questions, emails, and messages
• Schedule appointments and help coordinate the hospital's daily appointment flow
• Check clients and patients in and out efficiently
• Obtain previous medical records and ensure patient information is accurate and up to date
• Communicate appointment instructions and follow-up information to clients
• Process payments, invoices, refunds, and other transactions accurately
• Assist clients with prescription and medication refill requests and route medical questions to the appropriate team member
• Help identify potentially urgent situations and communicate them promptly to the medical team
• Communicate confidently with clients about routine hospital services, preventative care, products, and policies
• Make reminder and follow-up calls for appointments, vaccines, preventative care, and other patient needs
• Coordinate communication between clients, veterinarians, and the medical team
• Maintain accurate client and patient information within the practice management system
• Help maintain an organized, welcoming, and professional reception and lobby area
• Provide compassionate support to clients during stressful or emotional situations
• Work collaboratively with the entire hospital team to create an exceptional experience for every client and patient
• Support other hospital responsibilities as needed

What We're Looking For

• High school diploma or GED
• Previous customer service, reception, hospitality, or administrative experience preferred
• Experience with appointment scheduling, multi-line phone systems, payment processing, and practice management software is a plus
• Veterinary or medical office experience is a plus, but not required
• Strong communication and interpersonal skills
• Excellent customer-service mindset
• Comfortable communicating with clients both in person and over the phone
• Ability to remain calm and compassionate when working with clients in emotional or stressful situations
• Strong organization and attention to detail
• Ability to prioritize and manage multiple responsibilities in a busy environment
• Comfortable learning veterinary terminology, services, medications, preventative care, and hospital processes
• Basic computer proficiency and ability to learn practice-management software
• Dependable, positive, and team-oriented
• Must be at least 18 years old

We're especially interested in someone who takes initiative, builds relationships with clients, and takes pride in creating a great experience from the moment someone contacts our hospital until the moment they leave.

Schedule

• Full-time
• Approximately 8–10 hour shifts
• Monday–Friday availability
• Rotating weekends, approximately every other weekend

Compensation

$15–$17/hour , based on experience.

Pay Range

$15—$17 USD
