Advocate Solutions is seeking a dependable, organized, and detail-oriented Accounting Specialist to support our growing accounting and administrative team.

The primary focus of this position will be job costing. This person will review financial transactions and ensure they are assigned to the correct jobs or projects in QuickBooks. Most transactions will already be entered, so the role will primarily involve reviewing transaction information, identifying the appropriate project, accurately coding expenses, and helping maintain complete and organized accounting records.

Experience with QuickBooks, bookkeeping, job costing, or transactional accounting is preferred. However, we are also willing to train a reliable candidate who demonstrates strong attention to detail, good judgment, and a genuine willingness to learn.

This position is open to candidates with different levels of experience. An experienced accounting professional is welcome, but someone with relevant coursework, administrative accounting experience, or strong transferable skills may also be considered.

Responsibilities

• Review financial transactions and assign them to the correct jobs or projects
• Update and maintain job-costing information in QuickBooks
• Research transactions when the appropriate job or cost category is unclear
• Review receipts, credit card activity, expense documentation, and supporting records
• Assist with credit card reconciliation
• Assist with accounts payable and accounts receivable documentation
• Support invoice processing and transaction coding
• Identify missing or incomplete information and follow up with the appropriate team member
• Maintain accurate and organized digital accounting records
• Assist the accounting team with transaction cleanup and backlog reduction
• Support month-end accounting and reconciliation activities
• Coordinate with the accounting and administrative teams as needed
• Follow established accounting procedures and confidentiality requirements
• Perform other accounting and administrative duties as assigned

Qualifications

• High school diploma or equivalent required
• Accounting, bookkeeping, business, or related coursework preferred
• QuickBooks experience preferred
• Job-costing or construction-accounting experience is a plus
• Previous bookkeeping, accounting, financial data-entry, or administrative experience is preferred but not required
• Basic knowledge of Microsoft Excel, Outlook, and general computer systems
• Strong attention to detail and data-entry accuracy
• Ability to review repetitive transactions carefully and consistently
• Ability to follow written processes and instructions
• Comfortable asking questions when information is incomplete or unclear
• Organized and able to manage multiple priorities
• Dependable, punctual, and able to maintain regular attendance
• Willing to learn new systems and company procedures
• Able to handle confidential company, employee, and financial information appropriately
• Able to work on-site in Sugar Land Monday through Friday

Schedule and Work Location

The ideal candidate is dependable, hardworking, organized, and comfortable working with detailed financial information. They should be willing to learn, capable of following established procedures, and able to work independently once trained.

Experience with QuickBooks, bookkeeping, job costing, or construction accounting is strongly preferred, but it is not required for the right candidate. We are looking for someone who takes accuracy seriously, communicates when information is unclear, and is willing to become a reliable part of the accounting and administrative team.
