Senior PDS Admin & Project Coordinator (Sacramento)

Job Description PDS Administrative Assistant/Project Coordinator (Sacramento, CA). Providing high‑level administrative support to the Planning and Engineering Office within the California High‑Speed Rail (CAHSR) Program. Skilled in coordinating multiple priorities in fast‑paced environments, with strong organizational, communication, and problem‑solving abilities. Responsibilities Filling, printing, calendaring, coordination, document quality control, and other administrative tasks. Lead complex and diverse administrative assignments from conception to completion. Support other administrative staff as projects grow in size and scope. Coordinate conferences and events, including meeting room reservations, logistics, A/V, meals, and preparation of meeting materials; may attend meetings and take notes. Collaborate with other departments on special engagement projects and travel as required. Assist with change management process and tracking. Meet regularly with Task Lead to review project status, plan key events, meetings, upcoming travel, and prioritize action items. Create and maintain presentations, correspondence, reports, spreadsheets, and other necessary documents in response to task lead needs. Maintain well‑organized digital and hard‑copy files and records for efficient retrieval. Interact and communicate with all levels within the PDS team and CHSRA, developing effective networks with peers and external professional groups. Anticipate business needs, be proactive, troubleshoot problems, and take initiative. Manage and maintain calendar in Microsoft Outlook, including scheduling within limits and applying priority understanding. Ensure that project correspondence and documentation follow prescribed formats. Support onboarding and off‑boarding processes and facilities coordination, including system access, workspace setup, projected and actual start dates, and activity tracking. Qualifications BA/BS + 4 years of relevant experience or demonstrated equivalency. Strong proficiency in Microsoft Outlook, Teams, Word, PowerPoint, and Excel. Ability to communicate effectively with management, coworkers, clients, vendors, contractors, and visitors. Job‑related technical knowledge necessary to complete the job. Attention to detail and ability to work in a time‑conscious, time‑effective manner. Preferred Requirements Experience composing and preparing correspondence and reports. Excellent verbal and written communication skills. Experience managing multiple and changing demands, details, and deadlines. Additional Information All newly hired employees are required to attend an in‑person Day 1 onboarding at an AECOM office location as a condition of employment. Compensation range: $26 – $41 per hour.
