Project/Program Manager III (SDA)

Program Manager III (PPM) – TDAD Oversee and coordinate the work of legal assistants and administrative support staff within the Defender Association Division (TDAD). Ensure efficient workflows, compliance with legal standards, consistent interpretation and implementation of division operational policies, and effective team performance. Responsibilities Demonstrate an in-depth understanding of the scope of work performed by legal assistant support staff across all practice areas. Supervise the legal assistant team by setting clear performance expectations, holding staff accountable, conducting investigations when appropriate, and providing timely, constructive feedback; support employee training and development. Serve as a catalyst for problem‑solving and effective conflict resolution within the team. Assign, prioritize and balance workload among team members. Coordinate staff leave requests to maintain coverage and provide coverage when needed. Complete timely performance evaluations; in consultation with Human Resources, implement corrective and career‑development action plans. Be familiar with the case‑weight credit policy manual and all aspects of the Department’s Case Management System (CMS). Work with the Managing Attorney to ensure team members have the training and resources they need. Collaborate with other supervisors in the Department and Division. Manage internal division operations; analyze procedures and identify more efficient methods. Plan, procure and arrange all office equipment and moves of office staff, including onboarding new staff (business cards, supplies, keys, parking passes). Act as primary contact with vendors regarding maintenance and IT HelpDesk tickets. Process and document division expenditure and reimbursement requests; liaise with finance staff on payment and documentation requirements. Run reports in Oracle; reconcile PCard purchases and expenditure reports; verify and reconcile data discrepancies. Complete and submit staff‑change forms to HR in a timely manner. Provide excellent customer service to internal and external clients in person, via email and telephone. Stay current with standards in the legal environment across practice areas. Participate on multiple committees and act as a liaison to the Director’s office. Perform other duties as assigned. Qualifications Three increasingly responsible years of experience working within the criminal legal system, with at least one year in a supervisory or lead role (inclusive of special duty and/or out‑of‑class work) or a combination of education and experience that provides the required knowledge, skills and abilities. Ability to travel within King County in a timely manner. Demonstrated high level of skill and experience with communication, conflict management and team‑building. Experience handling controversial situations with tact, diplomacy, and assessing volatile scenarios. Knowledge of court and legal processes. Ability to mentor, train, supervise, set performance standards, establish priorities, evaluate and improve team work. Use of tact and discretion while maintaining strict confidentiality. Ability to build and maintain effective working relationships with diverse internal and external customers. Coordination of multidisciplinary team work and effective teamwork. Data manipulation, computer and other tools proficiency. Ability to manage multiple tasks simultaneously. Advanced decision‑making, critical issue identification and efficient resource allocation. Knowledge of project management and supervisory principles. Excellent customer service skills. Experience with diverse individuals involved in the criminal legal system. Proficiency with current office software (Microsoft Word, Excel, Access, SharePoint, Outlook). Experience supporting multiple practice areas in DPD. Experience with change management.
