Lead Medical Support Assistant

Summary The Lead Medical Support Assistant performs work relating to the care and treatment given to patients on inpatient units, outpatient clinics, and scheduling call centers. Qualifications Applicants pending the completion of educational or certification/licensure requirements may be referred and tentatively selected but may not be hired until all requirements are met. Grade Determinations: In addition to the basic requirements for employment listed above, the following education and experience criteria must be met when determining the grade of candidates: Lead Medical Support Assistant – GS‑7 Experience. Demonstrated Knowledge, Skills, and Abilities Advanced knowledge of medical terminology and a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or community resources. Ability to utilize numerous advanced patient systems in support of multiple clinics in an interdisciplinary setting. Ability to organize work, set priorities, and delegate tasks/responsibilities to meet deadlines. Skill in communicating with individuals to obtain the desired effect and coordinating with a variety of interdisciplinary care team staff. Ability to provide staff development and training. Ability to manage staffing requirements, manage workflow priorities, and adjust the flow of work to meet team and patient needs. Ability to follow up on pending issues and demonstrate an understanding of the impact of incomplete work across multiple clinics. May be required to wear personal protective equipment and undergo annual TB screening or testing as conditions of employment. Work environment: office/clinic setting with minimal risks; generally well‑lit, heated, and ventilated. Employee must be able to handle several tasks at once in sometimes stressful situations. Duties Monitors and assists in the development of work assignments, provides input on performance, resolves daily program issues, and maintains efficient workflow in alignment with the Supervisory Medical Support Assistant. Initiates and carries out a variety of administrative and technical duties. Contributes in team huddles and meetings to manage and plan patient care. Sets priorities and deadlines. Adjusts the flow and sequencing of work to meet team and patient needs. Works with the team to reinforce the plan of care and self‑help solutions and enters appropriate information into the electronic record. Monitors pre‑appointment requirements to assure readiness for patient visit/procedure (e.g., X‑ray, lab work). Participates and provides input in problem‑solving on operational issues or procedures in team meetings. Performs administrative follow‑up actions. Independently follows up on team huddles by escalating information and collaborating with the medical team to assure continuity of care. Educates providers about shared patients (those who receive their care at multiple VAs or in the community) and brings information to the provider’s attention.
