Proposals Administrator

ROLE
The Proposals Administrator is responsible for providing assistance to the Proposals Lead the Proposals & Estimating team through coordinating the planning, development and production of winning proposals from start to finish.

KEY RESPONSIBILITIES
  • Assist in all administrative aspects of proposal development from receipt of requirements through delivery to develop compliant and compelling proposals.
  • Extract and assemble the information needed to generate proposal documents.
  • Develop proposal documents and create proposal templates.
  • Work with the Proposal Lead in assigning proposal related tasks and ensure that contributors submit complete information on deadline and editing their work for content and grammar.
  • Plan, design, and format proposal layouts.
  • Analyse Request for Quotation, Request for Proposal and Expression of Interest (RFQ/RFP/EOI) documents to ensure submissions are focused, creative, articulate and compliant.
  • Assist the proposal development team with technical writing.
  • Plan and participate in pre-RFP strategy and proposal kickoff meetings.
  • Communicate status and identify/resolve barriers to progress.
  • Collaborate with bid team in the preparation of presentation materials required for bid review meetings.
  • Liaise and collaborate with project management team, estimators, and management as well as external consultants.
  • Maintain up-to-date proposal logs and project experience information as well as electronic files for proposal documents.
Note: in addition to these duties personnel are required to carry out such other duties as may be reasonably required in order to support the objectives of the Company .

POSITION REQUIREMENTS
Qualifications
  • High School Diploma.
Experience
  • Previous experience in a similar role in the engineering or construction industry (preferably pipeline construction) is considered an asset.
  • Experience in project management, estimating or project controls is considered an asset.
Skills and Knowledge
  • Understanding of the oil and gas pipeline construction industry.
  • Ability to read and understand relevant construction documents.
  • Understanding of estimating & project management theories, methodologies and industry practices is considered an asset.
  • Understanding of technical pipeline terminology.
  • Ability to gather information from a variety of sources and assemble together into a professional document.
  • Ability to prioritize and work on multiple projects.
  • Ability to write technical content.
  • Intermediate knowledge of MS Office Suite (Word, Excel, and Outlook), Adobe or Bluebeam PDF Editor.
WORKING CONDITIONS
This is a permanent position based at either our Calgary or Spruce Grove office with a 5-day work week, 8-hour days . Travel to project sites will be required.

REPORTING RELATIONSHIPS
The Proposals Administrator reports to the Proposals Lead. The position has no supervisory duties.
