Recruitment Coordinator

We are seeking a highly organized, detail-driven professional to support Product Engineering hiring operations across our Research Triangle Park (RTP) and San Jose (SJC) locations. In this role, you will own the full interview coordination lifecycle — from scheduling complex multi-timezone panels to facilitating offers, background checks, and pre‑boarding — while serving as a trusted point of contact for both candidates and internal stakeholders. Responsibilities Own end-to-end interview scheduling for Product Engineering roles including phone screens, panels, and onsite/virtual loops across US time zones Manage reschedules and backfills with speed and empathy, minimizing calendar conflicts and interviewer downtime Coordinate all interview logistics including agendas, video conferencing links, interview kits, panel alignment, and interviewer readiness Track interview feedback and nudge completion within agreed SLAs while maintaining pristine ATS data hygiene Partner with recruiters and hiring managers to calibrate timelines, interview panels, and role profiles Facilitate candidate communications including confirmations, reminders, prep materials, expectations, and post-interview follow-ups Support the offer process by drafting offer letters, routing approvals, extending offers, and answering candidate questions Run background checks, monitor status, resolve issues, and coordinate start dates and pre‑boarding activities Champion candidate experience and accessibility by offering accommodations, setting clear expectations, and ensuring timely updates Identify bottlenecks and propose process improvements such as interviewer load balancing, scheduling templates, and workflow rules Coordinate technical assessments as needed and ensure candidates receive clear instructions and timely support Meet or exceed defined success metrics including time-to-first interview, reschedule responsiveness, feedback completion rates, offer turnaround, and ATS accuracy Skills Mastery of multi-timezone scheduling and management of complex, high-volume calendars Exceptional organizational skills and meticulous attention to detail with a love for checklists, templates, and airtight workflows Clear, friendly, and professional written and verbal communication with candidates and stakeholders at all levels Proficiency with applicant tracking systems (ATS) and modern scheduling tools Experience running offer processes and background checks with strong compliance awareness and discretion Data-driven mindset with comfort tracking SLAs and reporting on bottlenecks and throughput Ability to remain calm and effective under pressure in fast-moving, dynamic environments Commitment to fairness, confidentiality, and fostering an inclusive and accessible candidate experience Familiarity coordinating engineering interview loops (SWE, SRE/DevOps, QA, Data/ML) and technical assessments is a plus Experience 1–3+ years of experience in recruiting coordination, talent operations, or high-volume scheduling Prior experience supporting tech or engineering hiring is a strong plus Demonstrated experience managing end-to-end offer and background check workflows This is a fantastic opportunity to play a pivotal role at the intersection of talent and technology, directly shaping how top engineering talent experiences your organization from first contact to day one.
