Payroll Specialist

The Payroll Specialist is responsible for the accurate and timely processing of full-cycle payroll for approximately 1,000 employees across multiple U.S. states. This role supports both exempt and non-exempt employees and ensures compliance with federal, state, and local wage and tax regulations. The ideal candidate has strong payroll processing experience, excellent attention to detail, solid Excel skills, and experience working within an ERP systempreferably Dayforce.

Key Responsibilities

• Process full-cycle, multi-state payroll for exempt and non-exempt employees on a regular pay schedule (weekly, biweekly, or semi-monthly as applicable).
• Ensure accurate calculation of wages, overtime, bonuses, commissions, deductions, garnishments, and benefits.
• Maintain payroll records in compliance with federal, state, and local regulations.
• Perform payroll audits to ensure accuracy, identify discrepancies, and implement corrective actions.
• Reconcile payroll reports, general ledger entries, and payroll-related accounts.
• Manage payroll tax filings, wage garnishments, and year-end processes including W-2s.
• Partner with HR and Finance to ensure accurate employee data, job changes, terminations, and benefit deductions.
• Respond to employee payroll inquiries professionally and in a timely manner.
• Support internal and external audits by providing payroll documentation and reports.
• Assist with payroll system upgrades, implementations, or process improvements.
• Stay current on payroll laws, tax regulations, and compliance requirements across multiple states.

Minimum Qualifications

• 3+ years of payroll processing experience , including both exempt and non-exempt employees.
• Experience processing payroll for a multi-state U.S. workforce.
• Hands-on experience with an ERP or payroll system (Dayforce strongly preferred).
• Intermediate Excel skills , including formulas, VLOOKUP/XLOOKUP, pivot tables, and data reconciliation.
• Proven experience performing payroll audits and resolving discrepancies.
• Strong understanding of full-cycle payroll processes.
• Excellent written and verbal communication skills.
• High level of accuracy, confidentiality, and attention to detail.

Preferred Qualifications

• Experience supporting payroll for 1,000+ employees.
• Dayforce implementation or advanced Dayforce module experience.
• General knowledge and/or experience processing Prevailing Wage Payrolls.
• Knowledge of payroll accounting and general ledger integration.
• CPP (Certified Payroll Professional) or FPC certification.
