Innova Realty & Management is seeking an organized, dependable, and customer-service-oriented Maintenance Coordinator to join our Property Management Division.

The Maintenance Coordinator is responsible for managing maintenance requests from initial report through completion. This position serves as the primary point of communication between residents, property owners, vendors, and our property management team to ensure repairs are handled efficiently, professionally, and within established guidelines.

The ideal candidate is someone who takes ownership of problems and follows them through to completion. This position requires more than simply assigning a work order to a vendor. We are looking for someone who communicates proactively, follows up consistently, keeps accurate records, and understands the importance of balancing resident satisfaction, property preservation, and the property owner's financial interests.

You should be comfortable working in a fast-paced property management environment where priorities can change quickly and multiple maintenance issues may need attention at the same time.

Compensation:

$38,000 - $52,000 yearly

Responsibilities:

• Receive, review, prioritize, and coordinate resident maintenance requests.

• Troubleshoot basic maintenance issues with residents when appropriate before dispatching a vendor.

• Determine the appropriate vendor or service provider for each work order.

• Schedule and dispatch vendors and coordinate access with residents.

• Communicate with property owners regarding repairs requiring approval.

• Obtain estimates and multiple bids when required.

• Monitor open work orders and follow up with vendors to ensure timely completion.

• Maintain consistent communication with residents regarding scheduling and repair status.

• Review vendor invoices for accuracy and verify that work has been completed before closing work orders.

• Document maintenance activity, vendor communication, approvals, invoices, photos, and completion notes in the property management software.

• Coordinate emergency and after-hours maintenance situations when necessary.

• Assist with maintenance related to property turnovers, move-ins, move-outs, and property inspections.

• Identify recurring maintenance problems and escalate significant property concerns to management.

• Maintain professional relationships with contractors, technicians, homeowners, residents, and other service providers.

• Help control maintenance costs while ensuring repairs are completed properly and in a timely manner.

• Ability to manage multiple work orders and priorities simultaneously.

• Strong follow-up skills and attention to detail.

• Professional and confident when communicating with residents, property owners, and vendors.

• Ability to remain organized and solution-oriented when dealing with urgent maintenance situations.

• Basic understanding of residential maintenance, including plumbing, electrical, HVAC, appliances, and general repairs.

• Comfortable working with computers, email, property management software, and online vendor systems.

• Property management or residential maintenance coordination experience is strongly preferred.

• Experience with AppFolio is a plus.
