Onboarding Specialist BEST Region

Overview Onboarding Specialist (4722C), BEST Region - 33759. Role at Inside Higher Ed. Responsibilities and qualifications are described below; include coordinating onboarding processes, handling inquiries from new hires, maintaining records, and supporting regional onboarding operations within the BEST Region of UC Berkeley's Regional Services. Responsibilities Team Process Coordination: Organize and coordinate logistics to support onboarding for 28,000 campus customers, including scheduling onboarding sessions and tracking responses. Respond to questions from new hires about onboarding, UC Berkeley or UC-wide programs, personnel policies, and procedures. Review ticketing system daily, analyze requests, triage and assign inquiries to the appropriate CSS team member. Ensure accurate records and timely transmittal of documents to CSS teams for processing, reporting, and audits. Maintain accurate data in files, logs, databases, and the ticketing system. Coordinate communication with HR Partners/managers as needed for missing information. Handle sensitive and confidential information; interact collaboratively with CSS teams and client groups. Act as a good steward of university and customer resources; use independent judgment in actions. Satellite Office: Provide staffing on a rotational basis; greet and direct inquiries via phone, in person, and online; ensure proper documentation for hiring including I-9, Visa, and Work Authorization; maintain office space. Other Projects: Analyze current processes and recommend projects to improve customer experience; contribute to process improvements as assigned. Required Qualifications Excellent interpersonal and customer service skills; ability to coordinate, troubleshoot, and respond to customer service requests. Strong attention to detail and accuracy. Ability to research special projects, produce and organize reports, and communicate findings clearly. Ability to understand, interpret, and apply university rules, regulations, and policies; ability to learn University systems. Team-oriented, professional, and able to work respectfully with others; strong written and verbal communication in English. Demonstrated ability to create professional documents using MS Office (Word, Excel, PowerPoint, Visio) and email; ability to handle multiple deadlines and tasks; strong data management and file-keeping skills. Ability to schedule meetings and manage multiple calendars; follow up with multiple requests in a timely manner. Demonstrated integrity and discretion in handling confidential information; commitment to collegiality and respect. Ability to resolve problems informally at the lowest level possible. Preferred Qualifications Experience in establishing priorities, following plans, and achieving goals/objectives in a timely manner. Two or more years of professional administrative, project, and fiscal experience in a professional office environment. Basic knowledge of HR policies, programs, and University procedures; familiarity with UC Berkeley's HCM or HRIS systems and PPS. Salary & Benefits This position is non-exempt, bi-weekly paid.
