This is a key finance and operations role responsible for managing the post-award lifecycle of a diverse grants and contracts portfolio.
You will bring structure, visibility, and accountability to federal, state, foundation, corporate, and partner-funded awards.
The role combines financial oversight, compliance, reporting, subgrant administration, and cross-functional collaboration.
You will work closely with Finance, Programs, Advancement, and organizational leadership to ensure funding requirements are understood and consistently met.
A strong focus on risk management will be essential, from monitoring budgets and deliverables to identifying compliance concerns and escalating issues early.
You will also strengthen grants-management systems, dashboards, controls, and processes to improve organizational efficiency and transparency.

- Manage post-award administration for federal, state, private foundation, corporate, and other grants and contracts throughout their full lifecycle.
- Maintain a comprehensive and accurate portfolio of active grants, contracts, cooperative agreements, and subgrants, including key terms, deadlines, deliverables, and compliance requirements.
- Review executed agreements and coordinate structured handoffs among Finance, Programs, Advancement, and other relevant teams.
- Coordinate amendments, budget modifications, no-cost extensions, renewals, and closeouts while maintaining complete documentation and audit trails.
- Partner with Finance, revenue, and program leaders to review grant performance and financial activity at least monthly, monitoring budgets, spending, commitments, staffing allocations, and remaining balances.
- Analyze budget-to-actual performance, identify significant variances or financial risks, and support corrective actions where needed.
- Prepare and coordinate financial reports, invoices, reimbursement requests, funder submissions, and other required grant documentation.
- Support revenue recognition, forecasting, cash-flow planning, reconciliations, and financial reporting to ensure grant-related transactions are accurately recorded.
- Support annual audits, Single Audits, funder audits, NICRA calculations, and other grant monitoring or compliance reviews.
- Administer subgrants, subawards, and partner agreements, ensuring agreements are properly developed, approved, executed, and documented before work or payments begin.
- Maintain centralized subgrant tracking covering partner information, prime awards, agreement terms, deliverables, reporting requirements, payment schedules, budgets, and compliance obligations.
- Monitor subrecipient performance and expenditures against approved budgets and contractual deliverables, including risk assessment for federally funded awards.
- Develop and maintain organization-wide dashboards, trackers, and reporting tools covering financial performance, deliverables, deadlines, renewals, and award expirations.
- Provide regular portfolio reporting to the Director of Accounting and Finance and periodic executive-level reporting to senior leadership.
- Proactively identify and escalate financial, compliance, contractual, and programmatic risks, including missed deliverables, unsupported expenditures, budget variances, and subrecipient concerns.
- Maintain working knowledge of applicable grant requirements and contribute to the development of policies, procedures, internal controls, and standard operating practices.
- Identify opportunities to strengthen controls, reduce risk, improve visibility, and make grants-management processes more efficient.
- 5-7 years of progressively responsible experience in grants management, grants administration, sponsored programs, nonprofit finance, contracts management, or a closely related field.
- Demonstrated experience administering and monitoring federal, state, and private grants and contracts, including budgeting, financial reporting, compliance, deliverable tracking, amendments, renewals, and closeout.
- Hands-on experience administering and monitoring subgrants, subawards, subrecipients, and partner agreements.
- Working knowledge of federal grant requirements, including 2 CFR Part 200 and applicable subrecipient monitoring standards.
- Strong financial and analytical capabilities, with experience reviewing grant budgets, expenditures, forecasts, reconciliations, and budget-to-actual performance.
- Experience preparing or coordinating funder reports, invoices, reimbursement requests, and other required grant submissions.
- Demonstrated ability to build and maintain grants-management dashboards, trackers, calendars, and reporting tools.
- Strong project-management and organizational skills, with the ability to manage multiple awards, deadlines, reporting requirements, contracts, and stakeholders simultaneously.
- Excellent written and verbal communication skills, including the ability to communicate and appropriately escalate financial, contractual, compliance, and programmatic risks.
- Strong problem-solving skills, attention to detail, sound judgment, and the ability to work independently while collaborating effectively across teams.
- Bachelor's degree in Business Administration, Finance, Accounting, Public Administration, Nonprofit Management, or a related field is preferred; candidates with substantial directly relevant experience may also be considered.
- MBA and/or CPA designation is a plus.
- Experience supporting federal audits, Single Audits, funder monitoring reviews, or similar compliance activities is preferred.
- Experience working within nonprofit or mission-driven organizations with multiple funding sources is advantageous.
- Familiarity with Salesforce, NetSuite, or comparable CRM, grants-management, and financial systems is preferred.
- Advanced Excel skills and experience developing dashboards and management reports are a plus.
- Supervisory experience is preferred, with potential for future people-management responsibilities as the portfolio and team grow.
- Salary range of $90,000-$115,000 for a full-time schedule.
- Compensation determined based on role scope, relevant experience, skills, geographic considerations, and internal equity.
