Dispatch Coordinator

Schedule: Monday – Friday, 9:00 AM – 5:30 PM Position Overview Winston Staffing is currently seeking an organized, proactive, and detail-oriented Service Coordinator to support field service operations for an industry-leading packaging and automated machinery manufacturer based in Deer Park, NY. Operating in a high-volume, fast-paced environment, the Service Coordinator serves as the central operational hub connecting customers, field service technicians, Engineering, Spare Parts, Project Management, and Accounting. This role is responsible for orchestrating field service dispatches, triaging urgent machine-down requests, preparing service estimates, coordinating complex technician travel, and ensuring accurate service billing and record-keeping from initial inquiry to ticket completion. Dispatch & Scheduling: Schedule and dispatch field service technicians for routine maintenance, emergency service calls, retrofit projects, and equipment installations using Salesforce Field Service Lightning. Emergency Triage: Field incoming customer requests and Salesforce cases involving production-impacting downtime; prioritize and expedite technician deployments and travel arrangements to meet critical customer commitments. Estimates & Agreements: Prepare service estimates and maintain service agreement opportunities within Syteline (ERP) and Salesforce; follow up on open quotations to secure customer purchase orders. Travel & Logistics Coordination: Arrange technician travel logistics (flights, hotels, rental cars), build service calendars, and manage unexpected schedule shifts or site delays in real time. Work Order & Documentation Integrity: Review and track technician trip reports, daily notes, emergency logs, and time entries; verify alignment between Salesforce, Workday, and billing records to clear work orders for timely customer invoicing. Cross-Departmental Collaboration: Interface with Engineering to clarify technical scope, submit parts quotation requests to Spare Parts, and partner with Finance to ensure accurate labor, travel, and per diem billing. Qualifications & Experience Education: High School Diploma or equivalent required; Associate’s or Bachelor’s Degree preferred. Experience: 2+ years of experience in service coordination, field dispatching, service scheduling, or operational support within a manufacturing, industrial machinery, HVAC, capital equipment, or aftermarket service environment. Technical Acumen: Demonstrated proficiency with ERP/CRM software; hands‑on experience with Salesforce Field Service Lightning (FSL) and/or Syteline (Infor) is strongly preferred. Operational Discipline: Excellent prioritization, problem‑solving, and time‑management skills with the ability to maintain composure during high‑urgency, production‑critical situations. Communication: Exceptional verbal and written communication skills to effectively interface across internal technical teams, remote field technicians, and enterprise customer contacts.
