Learn more about our agency here: inveniv.com Agency Operations Manager - Role We are looking for an experienced, highly organized, and proactive Agency Operations Manager to join our team in Apex, NC. Think of this role as the operational right-hand to our agency’s leadership team. In a boutique creative agency, success depends on keeping the "back-of-house" machinery running seamlessly. You will be the central bridge connecting executive leadership (the Principal & Founder and Managing Partner), our account team, our creative talent, and our network of specialized contractors. This is a full-time, hybrid position that requires your presence in our Historic Downtown Apex office three (3) or more times a week. It is a highly tactical, hands-on role perfect for an operations professional who thrives on logistics, resource management, project health, and cross-functional coordination. Agency Operations Manager - Core Responsibilities Project Board & Status Management: Own the day-to-day accuracy of our project boards within our preferred platform (Monday.com). Ensure task statuses, timelines, and deliverables are 100% up-to-date and accurate. - Weekly Internal Client Updates: Manage and lead our weekly internal client status updates with the account and creative teams, ensuring alignment on milestones and troubleshooting blockers. - Resource Management & Load Balancing: Track individual team member bandwidth and capacity. Manage task and project load balancing to ensure optimal output without team burnout or under-allocation. (We leverage both Monday.com and Clockify.me for team tracking.) - Contractor & Vendor Operations: Manage agreements and scopes of work (SOWs) for our extensive network of specialized contractors, freelancers, and third-party partners. Coordinate legal review, onboarding, and deliverable handoffs. - End-of-Month Activity Reporting: Review, audit, and compile monthly timesheet and activity reports. Partner with our bookkeeping team to ensure precise tracking of pass-through expenses and billable hours. - Operations & Travel Logistics: Provide logistical support for agency operations, including booking team travel, managing executive schedules, and coordinating special events or client workshops. - Executive Support: Act as a reliable operational partner to the executive leadership team, assisting with administrative tasks, special initiatives, and day-to-day organizational needs. Agency Operations Manager - Qualifications & Requirements Experience: Minimum of 5 years of professional experience in project management, business operations, or as an operations lead. - College Degree: A Bachelor’s degree in Business Administration, Marketing, Communications, or a related field is strictly required. - Agency Expertise: Must have prior direct experience working within a creative, marketing, digital, or consulting agency. You must thoroughly understand agency operations, billable time models, client-agency dynamics, and creative workflows. - Location: Must reside in the greater Raleigh-Durham, NC area and be willing and able to commute to our offices in Historic Downtown Apex, NC at least three (3) times per week. - Software Mastery: Expert-level proficiency with Monday.com (or equivalent major PM tools), Google Workspace, and Microsoft Office. - Attributes: Exceptional attention to detail, strong financial literacy (budgeting, reporting), and outstanding communication skills.
