Employment Type: Full-Time, Entry Level Department: Legal As a CGS Legal Assistant, you will work under the direction of a Supervisory Paralegal or Project Supervisor and provide litigation and administrative support to a group of U.S. Attorneys. You will assist with preparing legal documents, managing case files, and supporting trial preparation. Skills and attributes for success Receive and review incoming material and independently determine the need for assembly and preparation of a variety of legal documents, e.g., charging instruments, motions, orders, pleadings, deposition notices, trial subpoenas, and grand jury subpoenas, considering the nature and status of each case. Proofread and edit drafts of legal documents such as motions, orders, correspondence, discovery requests and responses, and other pleadings; prepare recurring legal documents that conform to rules governing their style and format. Electronically file documents on behalf of attorneys at the directive of attorneys with the appropriate state or federal court, applying knowledge of local court rules and practices. Assist with trial preparation by compiling trial notebooks, witness and exhibit lists, and supporting evidence management. Prepare and track grand jury subpoenas and returns; process and organize legal data and supportive material, and assemble record materials for court filings. Compose original letters that require a good working knowledge of legal procedures and specialized terminology, such as transmittals of pleadings, requests for extensions of time, advisories of actions taken, and notices to attorneys representing defendants. Ancillary office support functions Perform docketing duties such as opening, updating, and closing cases using the automated case tracking system; search databases for required information as needed. Obligate funds for litigation expenses and monitor for continued necessity. Review bills and invoices and submit to the budget office for payment. Maintain calendars of assigned active cases, track filing, hearing, and trial dates, and schedule conferences and interviews; create and maintain suspense systems for ongoing cases. Assemble physical and electronic files for new cases, filing materials in chronological order, preparing conflict of interest sheets, and numbering initial case materials and discovery. Prepare files for closing, ensuring relevant documents are ordered and ready for the assigned attorney’s signature. Receive visitors, answer telephone calls, refer callers to staff members or take messages appropriately; deliver and retrieve papers from the federal courthouse and furnish requested information regarding pending or closed matters. Attend required meetings and trainings. Produce a variety of written documents and materials using office software applications such as MS Word, MS Excel, MS Outlook, MS Access, Adobe Acrobat, and other databases; integrate output from different software types into final documents. Provide automated litigation assistance in trial preparation and courtroom presentations, including transcription of dictation and technical support for visual materials. Perform other related duties as assigned. Qualifications At least one year of specialized litigation experience required, over three years preferred. Experience reviewing legal documents such as complaints, motions, orders, answers, pleadings, subpoenas, and libels for completeness; retrieving and assembling hearing or trial information; researching legal sources; maintaining file systems; and using automated software to produce reports and related materials. Excellent written and oral communication skills. Familiarity with a variety of computer applications, such as MS Word, MS Excel, MS Outlook, and Adobe Acrobat. Ability to consistently deliver high quality work under extreme pressure. Ability to obtain a Public Trust Security Clearance.
