The Position

If so, this is the position for you! This Clerical Assistant 3 position at the Office of State Inspector General (OSIG) performs complex clerical work which supports our investigative programs. This position requires knowledge and application of Department of Human Services (DHS) and OSIG procedures and systems, call center experience, knowledge of various software packages, and the ability to exercise independent judgment throughout the course of its duties. Description Of Work

This position supports the Program Integrity Division by handling detailed clerical work that keeps operations organized and responsive. You will apply office procedures, computer skills, and independent judgment to help manage calls, records, and case information. As a Clerical Assistant 3, you will perform the following duties:

  • Call Handling: Respond to calls on specialized phone systems and assist callers with clear and careful communication
  • Record Management: Maintain files, update case data, and organize information for staff use
  • Data Entry: Input tips, referrals, payments, and claim information into required systems
  • Claim Support: Explain claim details, gather documentation, and assist with repayment arrangements
  • Research Tasks: Review various systems to check information and prepare details for staff review
  • Office Assistance: Support coworkers by answering questions and helping with daily clerical tasks

Work Schedule and Additional Information:

  • Full-time employment
  • Work hours are 8:00 AM to 4:30 PM, Monday - Friday, with 60-minute lunch.
  • Telework: You may have the opportunity to work from home (telework) part-time up to eight days a month based on operational needs. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office in Harrisburg. The ability to telework is subject to change at any time. Additional details may be provided during the interview.
  • Salary: In some cases, the starting salary may be non-negotiable.

Required Experience, Training & Eligibility

Qualifications

Minimum Experience and Training Requirements:

  • One year as a Clerical Assistant 2 (commonwealth title); or
  • One year of moderately complex clerical experience; or
  • An equivalent combination of experience and training.

Additional Requirement:

  • You must be able to perform essential job functions.

Preferred Qualifications (not required):

  • One year experience in a call center environment.
  • Adhere to the values and ethics of the OSIG.
  • Solid written and verbal communication skills.
  • Ability to multi-task.
  • Experience analyzing electronic data and creating and/or manipulating Excel data spreadsheets.
  • Experience working with Department of Human Services databases or systems such as CIS or ARRC.
  • Customer service experience.
  • Experience handling and/or maintaining confidential information.
  • Experience proofreading documents.

Legal Requirements:

  • A conditional offer of employment will require submission of criminal history reports. See hiring agency contact information.
  • You must pass a background investigation.
  • This position will have access to Federal Tax Information (FTI) and is subject to the provisions of IRS Publication 1075 (Pub 1075) which requires you to pass an enhanced background check prior to beginning employment. Under Pub 1075, acceptance of a conditional offer of employment will require submission to and approval of satisfactory criminal history reports, including but not limited to: a fingerprint-based federal records check; a PA State Police clearance; a check of local law enforcement agencies where you have lived, worked, and/or attended school within the last five (5) years; and a citizenship/residency verification.
  • Please note: Due to Act 29, the selected candidate will have limited law enforcement powers, which require all employees with access to agency systems to undergo fingerprinting and an in-depth background check to include criminal, tax, and credit history.

This position is subject to the provisions of a collective bargaining agreement or memorandum of understanding. If no applicable union-covered bidders apply, other applicants may be considered.
