Seasonal Event Coordinator

Overview Seasonal Event Coordinator is responsible for the project management and successful execution of events for Operation Warm's corporate, community, and grant funders. The person is responsible for funder and beneficiary management, coordination of event logistics, and planning coat/shoe gifting events. This is a temporary position with full-time hours for an approximate 6‑month time frame. The position does not have supervisory responsibilities. Essential Duties And Responsibilities Execute organization projects and partner programs that adhere to timelines, program requirements, and funder expectations Proactively gather necessary information to plan and implement projects Predict resources needed to reach objectives and manage resources in an effective and efficient manner Develop and manage a detailed project schedule and work plan Plan and coordinate in-person and/or hybrid events, facilitating run of show, technological needs, and event organization Provide project updates on a consistent basis to various stakeholders about strategy, adjustments, and progress Maintain proactive communication with program stakeholders—beneficiaries, funders, and internal teams Identify and report deadline conflicts or delays to management Monitor all projects and make adjustments as needed via the project management software application, Asana, to ensure that all stakeholders collaborate seamlessly Build and maintain effective relationships Measure project performance to identify areas for improvement Other duties as assigned Basic Job Qualifications Bachelor's Degree preferred Other Qualifications Previous event planning experience preferred Strong problem‑solving skills and creativity, as well as enthusiasm for our mission Excellent verbal and written communication skills Strong attention to detail Ability to work well under pressure and meet tight deadlines Highly proficient in Microsoft Suite (Word, Excel, PowerPoint, Teams, Outlook, OneNote) Experience with Salesforce and/or other CRM systems preferred Experience with Asana preferred Works independently and collaboratively, with maturity and confidence Demonstrates good judgement and ability to make sound decisions in a fast‑paced, dynamic setting Unwilling to accept any unethical conduct or outcomes that threaten the mission or values of Operation Warm Ability to travel locally if needed to support local events Operation Warm participates in E‑Verify.
