Scheduling Coordinator

Manages the full appointment lifecycle for consultative examinations, ensuring all scheduling intervals, notice periods, and reporting requirements set by the District are consistently met.

Key responsibilities include:

• Schedule physical and pediatric examination appointments in intervals of at least 30 minutes.
• Schedule psychiatric/psychological appointments in intervals of at least 40 minutes, and flag to the Disability Claim Examiner when additional time is warranted for specific testing.
• Schedule all appointments within 14 calendar days of referral; only compress to fewer than 10 days when the District explicitly requests it and the claimant agrees.
• Contact the District's Disability Claim Examiner within 30 minutes whenever an appointment must be rescheduled.
• Report all kept, broken, or cancelled appointments through the Electronic Record Express (ERE) system in the District's prescribed format.
• Maintain the master scheduling calendar across all specialty examiners and coordinate provider availability to avoid coverage gaps.

Minimum qualifications include:

• High school diploma required; associate's degree in healthcare administration or related field preferred.
• 2+ years of experience in medical office or clinical scheduling.
• Familiarity with electronic scheduling and case management systems.
• Strong organizational skills and ability to manage high call/appointment volume under strict deadlines.
