Department: Administration

Location: Primarily stationed at the Hattiesburg Visitors Center; but work may require travel to other Hattiesburg Convention Commission facilities. These include the Lake Terrace Convention Center, Saenger Theater, Hattiesburg Pocket Museum, African American Military History Museum, Eureka School Museum, Oseola McCarty Home Museum, Smith Drugs Store, and the Hattiesburg Zoo. Travel may also be required for errands, conferences, and seminars.

Shift: Full-time: Minimum 40 hours per week generally Mon - Fri; However, hours may vary; will include some nights, weekends and holidays when needed.

Reports to: Director of Accounting

Summary: Provides accounting support to the Director of Accounting and Director of Operations in the areas of Accounts Receivable, Accounts Payable, data entry, audit preparation, general office support tasks, and other duties as assigned.

Duties and Responsibilities

• Processes bank deposits for the Lake Terrace Convention Center, the Lawn at Lake Terrace, Saenger Theater, Hattiesburg Pocket Museum, Hattiesburg Visitors Center, and the Sixth Street Museum District.

• Maintains Accounts Receivable ledger and collection of outstanding accounts on a current basis; monitor receipts, forward statements or notices to delinquent accounts.

• Manages the accounts receivable billing function and ensures that revenues earned are properly accounted for and reported.

• Process Event credit card payments as needed.

• Performs monthly event close- out; reviews client invoices for accuracy.

• Works with clients, vendors, and/ or bank personnel to execute wire transfers as needed.

• Assist in the preparation of materials for auditors.

• Prepares start banks for special events as requests are received from department heads.

• Performs ongoing accounting procedures including invoicing, data entry, journal entry preparation, regular report preparation and monthly closing, including the end-of-the-month reconciliation of all bank accounts and events.

• Assist in the maintenance of accounting files and with general administrative tasks as assigned.

• Recommends forms and/ or procedures to improve facility operations.

• Prepares and analyzes monthly budget report and financial reports and submits to Director of Accounting.

• Perform other duties as assigned by the Executive Director, Director of Operations, and/ or Director of Accounting.

• Assist in other departments when necessary.

• Be aware and supportive of the Commission's vision for all its facilities: Lake Terrace Convention Center, Lawn at Lake Terrace, Hattiesburg Visitors Center, Saenger Theater, African American Military History Museum, Eureka School Museum, Oseola McCarty Home Museum, Smith Drugs Store, and the Hattiesburg Zoo.

Qualification Requirements

Education and Work Experience

Associate degree in accounting or related field of study is desired and/ or minimum of 3-year experience in a similar field.

Essential Job Qualification

• Must retain a valid Driver's License and meet the eligibility requirements to drive while conducting company business.
• Due to the nature of this position, extreme confidentiality and accuracy are required.
• Must be organized and detail oriented.
• Ability to maintain accurate records in accordance with established procedures.
• Ability to work under deadline pressure and long or irregular hours including nights, weekends, and holidays as required.
• Must establish and maintain effective working relationships with fellow staff, vendors and lessees.
• Ability to work independently with minimal instruction.
• Must have excellent oral and written communication skills.
