Graduate Programs and Office Coordinator

Job Title: Graduate Programs and Office Coordinator Department: Veterinary Medicine | Veterinary Biosciences Responsibilities Manage submitted externship and combined program application materials; coordinate extern/candidate visits, including travel, lodging, meals and faculty/graduate student meetings; collate evaluations. Organize onboarding and orientation week, including information booklet and meetings. Assist with administrative maintenance of the One45/Qualtrics evaluation system, deploying annual to biannual evaluations of faculty/residents/program and preparing summary reports. Support VBS graduate education: utilize SIS and Carmen/Canvas; request course numbers; post grades; prepare syllabi, notes and exams; schedule rooms; ensure registration of appropriate courses by deadlines. Attend VBS Combined Program Committee and CVM Council for Graduate Studies meetings, providing admin support to committee co‑chairs. Create positions, initiate entry of new hires including JED and graduate fee authorizations; advise on visa issues; serve as primary contact for payroll/benefits questions. Cover telephone inquiries, create shipping labels, assist in departmental monthly and annual events, and perform other admin duties as assigned; provide support on activities related to the office of the Chair. Physical Qualifications Sitting; lifting packages (max. 15 pounds) Minimum Qualifications Bachelor’s level degree or equivalent combination of education and experience. Desired Qualifications Experience supporting educational programs in higher education environments; knowledge of and experience utilizing SIS; experience with graduate and/or resident programs; experience in Workday and proficiency in Microsoft Office. Target Salary Range $18.37 - $23.99 per hour; commensurate with experience, internal equity, the unit’s available budget, and the candidate’s qualifications.
