Primary Responsibilities

Accounts Payable:

·         Provide guidance to AP Coordinators and ensure invoices are entered accurately.

·         Manage AP communication and forward any invoice/vendor issues to assigned AP Coordinator.

·         Code Invoices when needed for M3 software.

Bank Statements:

·         Print all bank statements for each account each month

·         Calculate all debits (payroll system fees, bank fees, credit card fees etc.) and enter them into M3 software.

·         Operating Account:

o   Audit each hotel M3 reconciliation report with bank statements. Cash Deposits, V/MC and Amex. CLC, HAP, and other ACH payments. Problem solve when needed.

·         Correspond with hotel General Managers to address concerns.

·         Run credit card reports at the first of the month.

Sales/Use Tax:

·         Request tax exempts from each hotel. File appropriately before key dates each month.

·         Figure and fill all sales use taxes with NCDOR, SCDOR, and VADOR. Make sure they are entered in M3.

·         Figure and fill all occupancy taxes with the city/county for each property. File online/mail checks with forms.

·         Stay up to date on any tax changes and inform General Managers accordingly.
