Assistant Commercial Property Manager

Location: San Diego, CA (on-site with regional property visits)
Reports to: Senior Property Manager / President
Status: Full-time, exempt

About the Role

We manage a portfolio of commercial properties across Southern California ,including multi-tenant office, retail, medical, and industrial assets.

The Assistant Property Manager supports day-to-day operations of assigned properties, working directly with tenants, vendors, brokers, and ownership.

This is a hands-on role with meaningful exposure to lease administration, financial reporting, and tenant improvement construction, well suited to someone who wants to build toward a Property Manager position.

Key Responsibilities

Property Operations

• Serve as a first point of contact for tenant requests and track service issues through resolution
• Coordinate vendors and service contracts, including janitorial, landscaping, HVAC, elevator, security, pest control, and parking
• Conduct regular property inspections and document deferred maintenance and life-safety items
• Maintain certificates of insurance, vendor W-9s, and compliance files
• Support after-hours and emergency response on a rotating basis

Lease Administration

• Abstract new leases, amendments, and LOIs into the property management system
• Track critical dates including commencement, expirations, options, renewal notices, and rent escalations
• Prepare and issue tenant notices, estoppel certificates, and SNDAs for review
• Maintain percentage rent reporting for retail tenants and follow up on missing sales statements

Accounting & Reporting

• Code and process invoices and assist with monthly accruals and variance explanations
• Support annual CAM/NNN reconciliations and operating expense budgets
• Monitor accounts receivable, issue delinquency notices, and track payment plans
• Assist in preparing monthly owner reports and quarterly reforecasts

Tenant Improvement & Capital Projects

• Support TI and capital project coordination, including bid comparisons, change order tracking, lien releases, and closeout documentation
• Coordinate contractor access, building rules compliance, and tenant move-in/move-out logistics
• Maintain project budget trackers and assist in reconciling allowances against actual costs

Qualifications Required

• 2+ years in commercial real estate property management, asset management, or a closely related role
• Working knowledge of commercial lease structures, including NNN, gross, and modified gross, and CAM reconciliations
• Strong Excel skills — comfortable building and auditing a spreadsheet, not just filling one in
• Clear, professional written communication with tenants and vendors
• Valid California driver’s license, reliable vehicle, and willingness to travel to properties
• California Real Estate Salesperson license, or willingness to obtain within 12 months

Preferred

• Experience with Yardi or comparable systems such as MRI, VTS, or AppFolio
• Exposure to tenant improvement construction management
• Multi-state portfolio experience
• Progress toward CPM, RPA, or CCIM designation
