Summary: The Scheduling Specialist is responsible for updating all client and provider schedules in Credible Electronic Health Record (EHR). This position will coordinate client needs with clinical scheduling. The scheduling specialist is an integral part of the clinical team and works closely with assigned providers.

• Schedule all assigned clients' appointments in Credible EHR.
• Update all assigned providers scheduling in Credible EHR.
• Call clients to confirm all next-day appointments and update providers' schedules.
• Coordinate all initial client scheduling with the assessment team.
• Navigate client profile, client schedule, provider schedule, and admin services in Credible Electronic Health Record (EHR).
• Maintain Client Caseload management report in Credible BI and Tableau.
• Coordinate with assigned providers to manage client caseload scheduling.
• Attend assigned provider meetings as needed to support provider scheduling.
• Facilitate crisis protocol for clients in need of urgent services.
• Support other office staff to ensure the smooth operations of the agency.
• Escalate issues with unruly clients to the Support Services Supervisor.
• Other duties as assigned by the Support Services Supervisor, Manager, or Director of Operations.

Education and/or Experience: To perform the job successfully the following education and/or experience is requested.

Required:

• High school diploma or GED.
• Two years of office experience.
• One year of client information data input experience.
• One year of client scheduling experience.
• Valid Oregon driver's license, insurable driving record. Personal automobile insurance is required if clients are transported, or any agency business is conducted by the employee using their personal vehicle.

Preferred:

• One year of clinical or behavioral health office experience.
• Electronic Health Record experience.

• Experience in gathering client information.
• Experience in taking in and transferring client information to EHR or electronic databases.
• Experience in using either Excel or Tableau reports.

Use of Technology

• Navigate Microsoft Office Word and Excel.
• Learn ADP Workforce.
• Learn Credible EHR.
• Learn Zoom chat features.
• Learn Tableau report features.

Customer and Coworker Service

• Maintain a calm and professional manner.
• Manage difficult or emotional client situations.
• Interact and coordinate with clinical providers.

1. Frequently sit and input client information into EHR on the computer.
2. Regularly on feet and walking clients to screeners.
3. Regularly listen and communicate with clients over the phone.
4. Regularly listen and communicate with clinical providers over the phone, via chat, and in person.
5. Occasionally move or lift up to 50 pounds.

Driving may occur to attend on-site provider meetings across KBBH satellite campuses. Travel will be up to 20% of the time. Proof of insurance must be provided to the HR department. Coverage must remain current.

Work Environment: Work is performed indoors in a medical clinic setting. This is a fast-paced work environment. The noise level in the work environment is usually moderate.
