Weekend Staffing Coordinator

Administrative Functions Maintain a current listing of all resident care employee phone numbers. Update business office with current posting of all department managers' phone numbers. Maintain daily tardy and absenteeism calendars and report employees with excess tardiness or absenteeism to the Director of Nursing Services. Work with Human Resource Director and DNS to schedule modified work duty employees in accordance with work restrictions and facility policy. Complete necessary nursing department employee records upon hiring, job reclassification, and discharge. Assist employees in completing scheduling and staffing forms (eg, leave requests, time cards). Complete monthly nursing schedule coordinating requests to ensure appropriate coverage of units. Coordinate variances with the DNS and assist in filing designated reports in accordance with established policies and procedures. Answer employee calls regarding staffing/scheduling functions and prepare written correspondence as necessary. Ensure newly hired nursing staff has time cards and schedules prior to orientation date. Consult with nursing department staff and supervisors concerning staffing/scheduling needs and make written/oral recommendations to the DNS. Committee Functions Attend various committee meetings (safety, recruitment and retention, etc.) as required. Collect and assemble/compile records for committee/DNS review and prepare reports of nursing department labor issues. Implement recommendations from established committees as instructed. Personnel Functions Assist in interviewing CNAs when requested and create a positive atmosphere throughout the facility. Record attendance and tardiness for employee performance appraisals and confirm license/certification and current standing with state approved agencies for new hires. Maintain confidentiality of all pertinent employee information and report incidents of fraud to the Administrator. Ensure that departmental computer workstations are properly logged off or protected by automatic screen saver. Staff Development Provide each newly hired nursing personnel with orientation schedule and assign a staff member to provide orientation. Facilitate quality orientation program by communicating new hire orientation schedule to unit manager and unit staff. Attend in‑service training programs as scheduled and assist with record keeping for facility in‑service education. Safety and Sanitation Report all unsafe/hazardous conditions, defective equipment, etc., to your supervisor immediately and follow all established safety procedures and precautions when operating office equipment. Equipment and Supply Functions Ensure nursing supervisory supplies have been replenished in work areas as necessary and report equipment/supply needs to your supervisor. Ensure that work/assignment areas are clean and equipment and supplies are properly stored before leaving such areas on breaks, end of day, etc. Budget and Planning Functions Report suspected or known incidence of fraud relative to false billings, cost reports, kickbacks, etc. Supervisory Requirements As Staffing Coordinator, you are delegated the administrative authority, responsibility, and accountability necessary for carrying out your assigned duties. Qualification High school education or equivalent. Read, write, speak, and understand English. Basic mathematical skills (fractions, percentages, ratios and proportions). Supportive team member, independent decision maker, and collaborator with residents, families, and other personnel. Willingness to handle difficult residents and to incorporate new methods and principles into practice. Physical ability to move intermittently, lift up to 25 lb. at a height of 5 ft., and carry such weight up to 50 ft.; may be required to assist in emergency evacuations. Physical Demands Move intermittently and handle heavy equipment and supplies as required. Must cope with mental and emotional stress of the position and meet general health requirements set forth by facility policies. Must handle exposure to hazardous chemicals and infectious waste in accordance with safety protocols. Work Environment Work throughout the nursing service area (drug rooms, nurses’ stations, resident rooms, etc.). Subject to frequent interruptions and emotional or hostile residents, family members, and visitors. Work beyond normal hours, on weekends, holidays, and occasionally on call during emergency conditions. Exposure to chemicals, infectious waste, and potential injury from falls, burns, or dust and disinfectant fumes.
