Collection Specialist (Hybrid)

About the Role Collect and research past‑due student accounts using all available resources (telephone, written communication, routine follow‑up, etc.). This position requires exceptional communication skills, excellent customer service, strong organization, and the ability to perform duties independently and within deadlines. Type of Supervision Receives general supervision from the Assistant Vice Chancellor, Student Accounts. Position Duties and Responsibilities Contact past‑due students to resolve and collect outstanding accounts, ensuring timely follow‑up for payment. Prepare clear and concise written correspondence to resolve outstanding accounts. Review Banner Student and Accounts Receivable ERP, and Regent Education Financial Aid system to analyze and investigate a wide variety of student‑related information. Resolve complex account issues such as payments due, accounting adjustments, refunds, registration, and financial aid via daily interactions with staff, parents, students, other university departments and third‑party vendors. Prepare monthly reviews of accounts to facilitate bad debt write‑off in accordance with university policy, and accurately adjust accounts for bad debt write‑off and assign to collection agencies. Coordinate collection agency activities including account resolution, disputes, settlement, inventory analysis, payment posting, adjustments, and bankruptcies. Serve as liaison for One‑Stop teams and university departments for any collections‑related questions and issues. Review and prepare state‑required tax intercept files and communications, ensuring compliance with California timelines and records. Respond to student inquiries regarding pre‑intercept notices and post‑intercept phase. Provide ad‑hoc reports and responses as needed. Assist with other activities as required, including backup for cashiering, refunding, and student accounts functions. Position Specifications and Requirements 3 to 5 years of experience in collections or accounts receivable; experience in higher education preferred. Associate’s or Bachelor’s degree in accounting or related field, or equivalent experience. Proficiency with Ellucian Banner modules (Accounts Receivable, Financial Aid, Student Experience) and Argos reporting tool. Experience with Regent Education Financial Aid system. Knowledge of federal and state financial aid, bankruptcy laws and filings. Excellent oral and written communication skills and strong interpersonal skills. Strong problem‑solving ability, high‐tact handling of adverse situations, and excellent organizational and technical skills. Intermediate knowledge of Microsoft Office (Word, Excel, Outlook). Ability to work independently, take initiative, exercise discretion and judgment, and be a strong team player. Special Requirements Position is hybrid; candidates must be within a reasonable driving distance of the Central Administration Office in AlisoViejo, CA. Requires flexible hours, including occasional weekend or evening work, and weekly or as‑needed presence at the university office.
