Senior Project Accountant

Title: Senior Project Accountant Location: San Clemente Our client is a large commercial general contractor in South County, OC. The Senior Project Accountant will serve as the primary accounting contact for assigned projects, managing owner billings, subcontractor billings, lien releases, change orders, and payment coordination. This role is instrumental in maintaining accurate project financial records, supporting timely collections, and ensuring effective communication between Accounting and Operations.

Responsibilities

• Project Accounting & Financial Oversight

  Oversee day-to-day accounting and billing activities for approximately 4–5 assigned construction projects. Partner with Project Managers to maintain accurate project budgets, monitor financial activity, and resolve accounting discrepancies. Ensure project accounting records are accurate and consistent between Procore and Sage. Review project budgets and coordinate the accurate processing of owner and subcontractor change orders. Work closely with the Controller to resolve billing issues, support cash flow management, and improve accounting processes.

• Owner Billing & Accounts Receivable

  Prepare and coordinate monthly owner billings, including progress billings and payment applications. Work directly with Project Managers to review billings, incorporate revisions, and ensure accuracy prior to submission. Compile and submit required supporting documentation for owner billings. Record owner billings and cash receipts in Sage. Monitor outstanding receivables, follow up on payment status, and assist with collection efforts. Coordinate with the Controller to ensure timely and accurate billing submissions.

• Subcontractor Billing & Accounts Payable

  Review subcontractor billings and supporting documentation for accuracy and completeness. Manage the review and processing of subcontractor billings through GC Pay. Coordinate subcontractor payment activity and resolve billing discrepancies. Manage the collection and tracking of conditional and unconditional lien releases. Ensure required lien releases and supporting documentation are obtained prior to owner funding. Coordinate joint-check payments when required. Serve as a key point of contact for subcontractors regarding billing, documentation, and payment-related matters.

• Change Orders & Systems Coordination

  Coordinate the processing of owner and subcontractor change orders from Procore into Sage. Maintain accurate and current project financial information across accounting and project management systems. Identify and resolve discrepancies between project budgets, billing activity, and accounting records. Collaborate with Project Managers and the Controller to improve billing accuracy, documentation, and overall project accounting efficiency.

Qualifications

• Prior experience in project accounting within the commercial construction industry, preferably with a general contractor.
• Strong understanding of construction billing processes, including owner billings, subcontractor payment applications, change orders, and lien releases.
• Experience with construction accounting software; familiarity with Sage, Procore, and GC Pay is highly desirable.
• Working knowledge of accounts receivable, accounts payable, and project cost accounting.
• Strong organizational skills and the ability to manage multiple construction projects simultaneously.
• Excellent communication skills with the ability to work effectively with Project Managers, subcontractors, owners, and accounting personnel.
• Detail-oriented, proactive, and comfortable taking ownership of billing and accounting activities from start to finish.
