GENERAL PURPOSE:
Coordinate recruitment, outreach, applicant pipeline development, program tracking, and grant-related administrative activities for the federally funded ROOTS Teacher Residency Program. The position recruits prospective teacher residents in alignment with rural partner-district workforce needs and maintains key grant documentation, including required cost-share/match records and participant/program tracking.
ESSENTIAL JOB FUNCTIONS:
Recruitment and Outreach
- Develop and implement recruitment and outreach strategies for ROOTS teacher residents and support recruitment for the developing Registered Apprenticeship pathway.
- Build and maintain the prospective applicant pipeline from initial inquiry through application, interview, selection, and enrollment.
- Conduct outreach to Chico State students and alumni, community college students, school district employees, paraprofessionals/classified staff, career changers, and other prospective candidates.
- Plan and conduct information sessions, recruitment presentations, campus and community visits, career fairs, and related events; provide clear information about program requirements, timelines, stipends, residency expectations, and commitments.
- Maintain regular communication with candidates; coordinate applicant screening, interviews, selection activities, and related communications with ROOTS leadership and district partners.
- Work with partner districts to align recruitment priorities with anticipated staffing needs, instructional priorities, and residency placement opportunities.
Grant Tracking and Cost-Share/Match Documentation
- Maintain organized records of grant cost-share/match commitments and contributions for the project’s required 100% match.
- Work with project leadership, campus personnel, and partners to collect supporting documentation for personnel time, partner contributions, facilities, services, instructional resources, and other allowable match contributions.
- Develop and maintain spreadsheets, databases, and tracking systems; review records for completeness and accuracy and follow up on missing documentation.
- Prepare cost-share/match reports and summaries and maintain records suitable for grant monitoring, reporting, compliance, and audit purposes.
- Assist with other grant documentation and compliance tracking as assigned.
Program Tracking, Coordination, and Communications
- Maintain accurate applicant, recruitment, participant, and program records and prepare recruitment, participation, and program reports for project leadership.
- Coordinate schedules, communications, and logistics for recruitment, selection, ROOTS meetings, district partner meetings, mentor activities, professional learning, and other implementation efforts.
- Collaborate with ROOTS faculty, district partners, county offices of education, workforce partners, and other project personnel.
- Assist with recruitment and program communications, including email, flyers, presentations, website content, newsletters, social media, and other digital or print materials.
- Perform other related duties in support of ROOTS implementation as assigned.
EMPLOYMENT STANDARDS:
Required Qualifications:
- Bachelor’s degree or equivalent combination of education and relevant professional experience.
- Experience in recruitment, outreach, student services, program coordination, workforce development, or a related area.
- Strong organizational, written, oral, and interpersonal communication skills; ability to manage multiple projects, deadlines, detailed records, and competing priorities with accuracy.
- Experience maintaining detailed records, spreadsheets/databases, fiscal or grant documentation, compliance records, or similar materials; proficiency with Microsoft Excel, Google Sheets, or comparable tools.
- Ability to develop tracking systems, follow documentation procedures, communicate complex program information clearly, work independently with sound judgment, and follow projects through completion.
- Ability to build effective working relationships and collaborate with prospective students, educators, district personnel, faculty, staff, and community partners; ability to persistently and professionally obtain needed information/documentation.
- Ability to work on site at Chico State, travel periodically to regional partner sites and recruitment locations, and work occasional evenings and weekends as needed to support recruitment and program activities.
- Ability to maintain confidentiality of applicant, student, personnel, fiscal, and grant-related information.
Preferred Qualifications:
- Experience in K-12 or higher education, educator preparation, workforce development, or grant-funded programs.
- Experience recruiting students, employees, program participants, or targeted populations.
- Experience working with school districts, county offices of education, community colleges, rural communities, paraprofessionals/classified employees, prospective educators, or career changers.
- Knowledge of California teacher preparation and credential pathways.
- Experience maintaining cost-share/match or other grant compliance records, fiscal tracking, reimbursement documentation, and personnel effort documentation.
- Experience conducting presentations or information sessions and supporting community outreach or recruitment communications.
- Experience using professional social media, Canva, or similar content-development tools is desirable.
COMPLIANCE REQUIREMENTS:
- Candidate must be in possession of valid driver's license and automobile liability insurance. Participation in the DMV Employer Pull Notice Program (driving record) is required. The candidate will be required to update their insurance with Chico State Enterprises Human Resources when necessary.
- Satisfactory completion of a background check (including a criminal records check) is required for employment. Chico State Enterprises will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current Chico State Enterprises employee who was conditionally offered the position.

Benefits for employees working 30 hours or more per week include employer paid life insurance ($50,000) and long-term disability; options for health, dental, and vision insurance; FSA; paid holidays including 1 personal holiday; vacation accrual (initially 10 days/year); sick leave accrual (up to 12 days/year); employer contributions to a 403(b) retirement plan (up to 8%).
