The Sales Assistant provides administrative and operational support to the Sales & Marketing team. This role balances organizational skills, accuracy, and coordination to drive sales and customer experience. From accurate customer onboarding, ongoing CRM maintenance, event and meeting logistics, to sales operations, the Sales Assistant will work in a fast-paced environment. As a key member of the team, the Sales Assistant’s tasks provide the support such that the VP of Business Development, Account Directors, and Business Development Directors can focus on strategic customer engagement, revenue-generating sales activities, and other initiatives. Responsibilities: Manage New Customer Forms, including distribution, follow-up, verification, and data entry. Perform CRM data entry, record verification, maintenance, and ongoing data management to ensure accuracy and completeness. Support Account Directors by maintaining customer, prospect, and account information within company systems. Answer inbound inquiries and dispatch phone calls to the team. Schedule job walks, site visits, customer meetings, and internal meetings. Coordinate meeting logistics, invitations, agendas, and follow-up actions. Prepare ADs and BDDs for customer events, trade shows, and company events by ordering collateral, coordinating materials, creating checklists, packing items, and managing logistics. Register attendees for events and coordinate travel arrangements as needed. Conduct basic parts pricing research and administrative support activities. Assist with ordering equipment, including Erbessd equipment and related materials. Track purchase orders and perform follow-up with vendors, customers, and internal stakeholders regarding status updates and documentation. Coordinate and administer client-side setup activities and onboarding requirements. Pull and distribute reports for Account Directors, Business Development, and other departments as requested. Support Customer Experience initiatives through administrative coordination and project support. Prepare and submit expense reports and maintain receipt tracking and documentation. Maintain organized electronic and physical records, files, and supporting documentation. Prepare quotes in CMMS for resale or standard services. Ensure customer information, CRM records, reports, and documentation remain current and accurate. Work collaboratively with the internal team and external customers. Be able to balance multiple projects, including competing deadlines and priorities. Upkeep strong organization skills, supporting multiple team members. Requirements: Minimum of 3 years in supporting sales, marketing, or business development. Experience in MEP or industrial/manufacturing maintenance industries is a plus. Proven track record of results and accountability. Advanced proficiency with CRM and Microsoft Office (Outlook, PowerPoint, Excel, Word). Experience with a CMMS quote development platform (ServiceTrade, Zuper, or similar) is a plus. Ability to work in a fast-paced environment and manage multiple priorities. Excellent written and conversational communication skills. Eligibility to work in the United States without needing a work visa or residency sponsorship. Current, valid drivers license. Ability to stand, climb ladders, reach, and bend commensurate with job tasks. Ability to lift and carry 50-lbs. Employment Type: Full Time Bonus/Commission: No
